Job Description

Digital Collaboration and Document Management Specialist at Solvay

Solvay is all about chemistry. We’re not just referring to chemical reactions here, but also to the magic that occurs when the brightest minds get to work together. This is where our true strength lies. In you. In your future colleagues and in all your differences. And of course, in your ideas to improve lives while preserving our planet’s beauty for the generations to come.

About The Role

The Global Collaboration and Document Management team, part of the Digital Technology department, includes 15 staff and contractors. We ensure that Solvay’s essential collaboration tools and document systems (DMS) work reliably and keep improving for daily use worldwide.

Specifically, the tools we manage and support include leading platforms such as Google Workspace, Microsoft 365 & SharePoint, Altirnao AODocs, and M-Files.

As a Service Owner, you will hold primary accountability for the operational excellence of our delivered services, ensuring their smooth, reliable running, in line with the committed Service Level Agreements (SLAs). Beyond day-to-day service delivery, you will also be a key driver in the strategic transformation of our entire IT landscape, with a particular focus on the integration and optimization of Microsoft solutions.

Key Accountabilities:

  • Lead the DMS Portfolio: Drive the delivery and ongoing enhancement of the Document Management System (DMS) portfolio.
  • Act as Subject Matter Expert (SME): Serve as the primary point of contact and expert for key collaboration tools (e.g., SharePoint, OneDrive, AODocs, Google Drive, Bricsys).
  • Coordinate Service Stakeholders: Manage and align all parties involved in the service (support teams, infrastructure, hosting providers, and software editors).
  • Monitor and Improve Performance: Track tickets and key metrics to identify areas for improvement and drive initiatives that enhance service efficiency and user satisfaction.
  • Manage Service Lifecycle: Oversee all service updates, changes, migrations, and the full application lifecycle, from initial deployment to eventual decommissioning.
  • Oversee Budget and Risk: Effectively manage the service budget, resources, and ensure all risks are identified, escalated, and mitigated.
  • Translate Requirements and Drive Projects: Gather business needs, translate them into technical use cases, and ensure projects and custom developments are completed on time and within budget.

We offer a permanent contract based on hybrid working mode.

About You

We are looking for a candidate with:

  • Degree in Computer Science, Information Technology, Administration, or a related document management field.
  • 10+ years of experience in service management, or a similar role, preferably within a technology-driven environment.
  • Proven track record of successfully owning and delivering services or products.

Competencies:

  • Experience in service delivery and ITIL processes.
  • Excellent knowledge of Microsoft 365, including SharePoint.
  • Knowledge of tools like AODocs (Altirnao), Bricsys (Engineering Construction), Google Workspace or similar ones.
  • Good knowledge of DocuSign (eSignature), M-Files, and OpenText xECM.

Behaviors:

  • Accountability and Collaboration: Take ownership of operational excellence while fostering a collaborative mindset across both IT and business teams.
  • Strategic Influence: Skilled in influencing stakeholders and navigating organizational dynamics, with the ability to articulate complex ideas clearly to technical and non-technical audiences.
  • Problem-Solving & Agility: Possess a creative and analytical problem-solving approach, quickly adapting to new technologies to deliver practical, effective solutions.
  • Strategic Vision: Proficient at balancing long-term vision with immediate needs, translating business capabilities into actionable solutions, and assessing financial impacts.
  • Exceptional Communication: Demonstrate excellent communication and interpersonal skills in multiple languages; English is mandatory, and French proficiency is a significant asset.

About The Pay

Solvay offers attractive and equitable pay. The base pay expected for this role is € 38 960 - € 48 700 per year in Portugal. Your salary may ultimately be higher or lower based on your skills and experience. Additionally, we provide a competitive total rewards package that includes a bonus and/or other incentives.

Benefits:

  • Solvay Cares program: minimum of 16 weeks of parenting leave for all employees and package with healthcare, disability and life insurance coverage.
  • Prioritization of well-being: work-life balance promotion, flexible approach to work part-time or hybrid work arrangements (depending on the type of job), employee assistance program with access to physical and psychological support.
  • Professional development: prioritization of internal talents for career progression, access to a training platform, opportunities to join Employee Resource Groups (ERG) for experience sharing and mentorship and free language courses.
