Job Description
Role Summary: HR Administration Specialist with French
The HR Administration Specialist with French plays a pivotal role within the HR Shared Services function at Solenis. This position is responsible for delivering expert-level administrative and operational support across key HR process areas. You will manage complex employee lifecycle activities, ensure the maintenance of high-quality HR data, and uphold consistent application of HR policies, employment legislation, and shared services standards. Acting as a subject matter expert for assigned HR processes, you will also contribute to continuous improvement and standardization initiatives.
Key Responsibilities
- Provide specialist recruitment administration support throughout the entire hiring process.
- Administer Solenis' onboarding and offboarding procedures, including new starter, probation, changes, and leaver processes for European countries.
- Ensure compliance with SLA targets and audit requirements for HR administration.
- Accurately maintain data within Workday and staff files, managing all contract and change administration.
- Manage the HR shared services Workday inbox daily, adhering to shared services SLAs.
- Support local HR teams with the administration of employee relations issues such as disciplinary actions, grievances, absence management, probation period management, performance management, and reorganizations.
- Handle internal and external audit requests effectively.
- Monitor work permit requirements, conduct right-to-work checks, and assist with legal documentation.
- Maintain current knowledge of the business to proactively provide excellent, customer-focused, value-add service.
- Collate and submit payroll data accurately and on time for payroll cut-offs.
- Support and maintain GDPR and compliance requirements regarding accuracy, data retention, security, and Subject Access Requests (SARs).
- Assist with data gathering requirements for European or local projects as directed by the GSS Lead.
Requirements
Experience
- Demonstrated background in a busy administrative role, showcasing strong administrative capabilities.
- Proven track record of achieving results within tight deadlines.
- Ability to deliver results promptly and efficiently.
- Crucial previous HR experience.
- Familiarity with HR systems, including learning management systems and employee record databases; Workday experience is a significant plus.
- Excellent communication, organizational, and assessment abilities.
- Proficiency in computer literacy and Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Knowledge of HR systems as an end-user or for data management (e.g., Workday or similar) is desirable.
Formal Education & Qualifications
- Bachelor’s degree is desirable.
- Professional HR qualification preferred (or actively working towards one).
- Proficient in French.
