Client Care Coordinator - Medical Assistant

What You Will Do
As a Client Care Coordinator, you will be the primary support for daily medical spa operations. Your responsibilities will include:
- Providing excellent client care and customer service.
- Answering and screening a high volume of inbound phone calls.
- Managing appointments, including scheduling, moving, and canceling.
- Actively promoting clinic services, products, programs, and promotions.
- Providing accurate and immediate responses to client inquiries.
- Accurately completing client transactions and opening/closing duties.
- Performing basic office administrative tasks such as mailing, faxing, and filing.
- Maintaining client confidentiality in accordance with company policy.
- Assisting with other duties and projects as assigned by management.
- Future responsibilities may include back-office functions such as client preparation, supporting healthcare providers, assisting with rebooking, and product sales.
Candidates must be available to work weekday, weekend, and evening shifts, including opening and closing shifts.
What You Will Bring
We are looking for candidates with the following qualifications:
- High School Diploma or GED required; AA preferred.
- 1+ years of customer or sales experience required; experience in an aesthetic setting is preferred.
- Exceptional customer service skills.
- Ability to be efficient and productive in a fast-paced environment.
- Strong multitasking, prioritization, and organizational skills with high accuracy.
- Team player mentality with the ability to take initiative.
- Proficiency in Internet, Outlook, Excel, Word, and ability to learn new software.
- Social media experience is a plus.
- Excellent written, verbal, and interpersonal communication skills.
- Great attention to detail and accuracy.
- Demonstrated good judgment, strong character, ethics, and high standards of performance.
- Experience in a medical office and/or understanding of cosmetic procedures/skin care products is beneficial.
- Experience with Zenoti or other POS systems is preferred but not required.
Physical Requirements
This role involves prolonged periods of sitting at a desk and working on a computer, as well as talking and hearing. Occasional standing, walking, reaching, and lifting up to 20-30 pounds may be required.
