Job summary:

This role provides essential office and administrative support to ensure smooth day-to-day operations within Siemens Energy.

Key Responsibilities:

Office & Administrative Support:
  • Support day-to-day office administration activities and routine operational tasks.
  • Maintain files, records, and basic documentation in an organized manner.
  • Support coordination between internal teams for smooth office operations.
  • Handle email follow-ups and basic administrative communication.
Meeting & Scheduling Support:
  • Assist in scheduling meetings, coordinating calendars, and booking meeting rooms.
  • Prepare basic meeting materials and update meeting trackers.
  • Help record minutes of meetings (MoM) and follow up on action items.
Vendor, Transport & Logistics Coordination:
  • Support administrative coordination with vendors and transport service providers.
  • Assist in maintaining transport and vendor contact details and basic records.
  • Help coordinate travel and transport arrangements as required.
System & Data Administration:
  • Perform basic data entry and administrative updates in SAP or internal systems.
  • Support maintenance of customer, vendor, and material master data.
  • Track sales orders, purchase orders, and service-related documents from an administrative perspective.
Warehouse & Inventory Administration:
  • Assist with warehouse documentation and stock-related administrative records.
  • Support coordination for inventory entries and data accuracy in systems.
Finance & Reporting Support (Basic):
  • Assist in invoice tracking and document collection for finance teams.
  • Support preparation of simple reports, trackers, and MIS updates.
  • Help with administrative support during month-end activities (data collection only).
General Office Support:
  • Support audits and reviews by providing required administrative documents.
  • Follow internal rules, processes, and office guidelines.
  • Support additional administrative tasks as assigned.

Qualification:

  • Graduate/ Postgraduate with 2+ years of experience.
