About The Role

We are seeking a dedicated and proactive Office & Administration Assistant to join our Sydney office and play a key role in our wider business support team. This is an office-based, part-time role (Monday–Thursday), suited to someone who enjoys supporting others and takes pride in creating a welcoming, well‑organised workplace. You will play an important role in contributing to a positive office culture, support seamless day‑to‑day operations, and provide professional reception support to ensure a welcoming experience for our clients.

This opportunity would suit a current university student seeking corporate experience, or an administrator looking to transition to part-time work. We are looking for someone who is highly organised, detail‑oriented, and confident managing competing priorities. Strong emotional intelligence, a collaborative mindset, and a good sense of humour are essential in our people‑focused, team‑driven environment.

Responsibilities

  • Conduct reception duties in a courteous, efficient and professional manner, including greet clients and visitors and ensuring their needs are tended to
  • Answer and direct incoming calls, providing phone coverage for other SEC Newgate offices when required
  • Assist with day to day running and maintenance of the office (liaising with building management, suppliers & contractors as required)
  • Manage meeting room bookings and coordination, including setting up rooms in advance, organising catering and documentation, and ensuring rooms are cleared and tidied after use
  • Maintain a well‑presented office environment, including overseeing shared spaces and kitchen areas (stocking supplies, managing groceries and stationery orders, dishwasher, general tidiness)
  • Coordinate couriers and manage incoming and outgoing mail
  • Provide general administrative support to the wider team, including document preparation, printing, photocopying, filing, binding, and basic IT troubleshooting
  • Assist with the management of contact database for Sydney office – input all new contacts, oversee regular reviews and updates to contacts
  • Support internal and external events as required
  • Organise and coordinate travel and accommodation requirements
  • Assist with the set-up for new starters, including general induction, ordering business cards/stationery, training in workplace systems such as timesheet reporting and remote IT arrangements
  • Organise internal staff celebrations such as birthdays and service anniversaries
  • Provide ad hoc administrative support as required

  • Excellent verbal and written communication skills, with the confidence to interact effectively at all levels of the firm
  • High level of attention to detail and accuracy
  • Intermediate MS Office skills ideally including Outlook, Word, Excel, PowerPoint and MS Teams
