Scheduling Assistant
Scion Staffing has been engaged to conduct a search for a Scheduling Assistant on behalf of our client, a fast-growing, mission-driven startup organization in Washington state. This is an exciting opportunity for an organized, polished, and adaptable administrative professional who enjoys supporting executive leadership in a dynamic, fast-paced environment.
This position is part-time, fully remote role that directly supports the CEO with high-level scheduling coordination and administrative support. The ideal candidate is proactive, detail-oriented, quick-thinking, and able to pivot priorities seamlessly in a startup environment.
POSITION OVERVIEW
The Scheduling Assistant will play a critical role in ensuring the CEO’s calendar, meetings, and daily coordination needs run smoothly and efficiently. This individual will serve as a key administrative support partner by managing scheduling logistics, coordinating communications, and helping maintain organization across competing priorities.
KEY RESPONSIBILITIES
- Manage and maintain the CEO’s complex calendar and scheduling needs
- Coordinate meetings, appointments, and communications with internal and external stakeholders
- Adjust schedules and priorities quickly as business needs evolve
- Provide organized and proactive administrative support to executive leadership
- Maintain professionalism, confidentiality, and responsiveness in all communications
- Assist with coordination of virtual meetings and related logistics
- Support day-to-day operational organization in a startup environment
- Collaborate via Slack and Microsoft Office Suite to ensure smooth communication and workflow management
QUALIFICATIONS
- 2–3 years of administrative, executive support, or scheduling experience preferred
- Professional, polished, and courteous demeanor
- Comfortable working independently in a remote/home office setting
- Proficiency with Microsoft Office Suite and Slack required
- Ability to maintain confidentiality and exercise sound judgment
- Experience supporting executives or leadership teams strongly preferred
COMPENSATION AND DETAILS
- Part-time opportunity, approximately 20 hours per week
- Monday–Friday schedule, approximately 8:00 AM–12:00 PM
- Pay rate anticipated at $40.00–$50.00 per hour, dependent on experience
- Laptop and phone provided
- Fully remote/home office-based role
