Job Description

Role Overview

The Data Entry Specialist will support the maintenance and acquisition of course accreditations that meet licensing requirements for allied health, mental health, and fitness professionals. This role works closely with the Accreditation Manager to research licensing requirements, prepare and submit accreditation applications, manage documentation, and ensure ongoing compliance with regional, national, and program-specific standards.

Key Responsibilities

  • Accreditation Research & Compliance: Research and synthesize data to demonstrate compliance with accreditation standards (including APTA, AOTA, ASHA, NCCA, APA, NBCC, ASWB). Stay current on state licensing requirements related to continuing education, license renewal, and course content.
  • Accreditation Applications & Reporting: Prepare, submit, and track accreditation applications and renewal reports across a broad course catalog. Ensure all submissions meet accrediting body and regulatory standards.
  • Data Management: Accurately enter and maintain accreditation, course, and instructor data in document management systems. Uphold data integrity and confidentiality across all records and processes.
  • Approval & Feedback Coordination: Facilitate approval workflows for accreditation-related documentation. Coordinate internal reviews and implement feedback from accrediting agencies to maintain compliance.
  • Course Material Review: Review course materials and references against accreditation requirements. Document findings and provide clear, actionable feedback to internal teams.
  • Instructor Documentation Liaison: Collect and manage instructor CVs, credentials, and course references. Communicate accreditation requirements and respond to questions from instructors and internal stakeholders.

Qualifications

Experience
  • Experience in administrative support, preferably within accreditation, compliance, or educational environments.
  • Data entry or data management experience is acceptable in place of direct accreditation experience.
Skills
  • Strong data entry and data management skills with a high degree of accuracy.
  • Excellent organizational and time-management abilities with consistent deadline adherence.
  • Exceptional attention to detail and commitment to confidentiality.
  • Proficiency with standard office tools, including Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Familiarity with document management systems, accreditation processes, or professional education environments is a plus.
