Our Resource Management Operations (RMOPs) team plays a pivotal role in ensuring this quality data is maintained and leveraged effectively to inform business decisions around demand and capacity management.

Job Description: Operations Associate Analyst

In the AI Era, our business decisions are only as good as the data feeding them. Your role as an Operations Associate Analyst is to support the continuous delivery of high-quality, reliable data within our Resource Management systems and enable Resource Managers to work more efficiently while reducing time-to-staff across the organization. This function directly impacts the company's ability to scale, innovate, and deploy the right talent at the right time. You will serve as a Steward of Quality Data. RMOPs will help drive global consistency, ensuring that Leadership can make informed decisions with trusted data, and that Resource Managers can become more efficient in their day-to-day operations, reducing time to staff. You aren't just watching the data; you are driving global consistency and taking direct action to optimize our Resource Management lifecycle. You will be a data integrity specialist who doesn’t just 'clean' data, but understands the 'why' behind it — someone who can spot a trend before it becomes a bottleneck.

Day To Day Responsibilities

  • Utilization Tracking: Ensure data is the 'source of truth' for capacity, minimizing 'bench time' and preventing 'burnout'.
  • Capacity Coordination: Regularly sync with Project Managers (PMs) to understand current team bandwidth, leading Assignment Extension processes or flagging resources as 'available'.
  • Cross-Functional Collaboration: Collaborate with other Project Delivery Teams and Resource Managers to identify process challenges and escalate them accordingly.
  • Reporting & Compliance: Generate weekly 'Status Reports' to flag missing assignments or expired opportunities, ensuring leadership makes decisions based on accurate data.
  • Systems Thinking: Understand how an 'Opportunity' in one stage triggers a 'Resource Assignment' in the next.
  • Status Reporting: Flag 'Ghost Assignments' (staff assigned to projects that haven't started) and 'Expired Assignments' (staff still billing to closed projects).

Data Hygiene Stewardship

You will act as the primary owner of data cleanliness within Salesforce PSA. This includes:

  • Being comfortable with—and taking pride in—high-volume data entry and administration, ensuring every project, person, and hour is accounted for.
  • Reconciling Assignments, cleaning up 'zombie' opportunities that lack active action plans.
  • Standardizing naming conventions and entry protocols.
  • Performing monthly audits to ensure real-world activities match the Resource Management Tool.

Change Management & Process Adoption

  • Process Enhancement: Analyze current workflows to identify operational bottlenecks and develop scalable solutions for implementation.
  • Process Advocacy: Act as the 'go-to' person for new operational workflows, facilitating transitions from 'the old way' to 'the better way'.
  • Continuous Improvement: Evaluate process efficiency and recommend enhancements to streamline data entry and operational workflows.
  • Documentation & Training: Create 'light-touch' documentation (checklists, short videos, or 1-pagers) for Resource Management and Data Hygiene protocols.
  • Hold stakeholders accountable to data standards, reminding busy PMs that a clean system benefits everyone.
  • Efficiency Driver: Identify friction points in Resource Manager day-to-day workflow and improve efficiency to significantly reduce time-to-staff.

Skills & Experience

  • Relevant overall work experience ranging from 12 to 24 months.
  • Ability to 'manage up' and 'manage sideways,' obtaining answers from busy leaders without creating bottlenecks.
  • Maintain accountability standards for data integrity by ensuring stakeholder compliance.
  • Professional Communication: Demonstrate effective communication across organizational levels.
  • Collaborative Leadership: Foster cross-functional partnerships and team coordination.
  • Excellent problem-solving abilities and a proactive approach to data accuracy.
