Job Description
About the Role:
We’re looking for a high-agency Executive Assistant to support a fast-moving founder. This is not a “basic admin” role. You will run the CEO’s day, protect their time, and build repeatable systems that make the company move faster. You thrive in chaos, love structure, and communicate quickly and clearly. You’re the kind of person who sees the issue before anyone asks and fixes it.
What Success Looks Like:
Within the first 2–4 weeks, you are:
- Keeping the CEO’s calendar under control with tight scheduling, confirmations, and zero missed meetings
- Turning scattered requests into organized projects, checklists, and SOPs
- Proactively handling follow-ups so nothing slips
- Making the CEO’s week feel lighter, cleaner, and faster
Responsibilities:
Calendar + Time Protection:
- Own calendar scheduling end-to-end: scheduling, rescheduling, confirmations, reminders
- Prevent conflicts, enforce priorities, and protect focus blocks
- Confirm meetings with clear agendas and the right attendees
Inbox + Communication:
- Triage email and messages: flag urgent items, draft responses, follow up relentlessly
- Maintain clean communication loops: no open threads, no ambiguity
- Send concise updates and keep stakeholders aligned
Operations + Systems:
- Build SOPs, checklists, templates, and repeatable work flows
- Keep projects moving: assign tasks, track deadlines, unblock issues
- Maintain clean documentation (Notion/Google Drive, etc.)
Founder Support:
- Help coordinate recruiting, contractors, and internal team logistics
- Handle travel planning, reservations, vendors, and personal admin when needed
- Be trusted with confidential information and sensitive priorities
Must-Have Traits (Non-Negotiable):
- High-agency: you don’t wait to be told; you anticipate and execute
- Fast communicator: concise, clear, responsive
- Systems thinker: you naturally build structure and repeatability
- Reliability: you do what you say, on time, every time
- Comfort with tools: you learn software quickly and enjoy it
Required Skills / Experience:
- 3+ years supporting an executive/founder (EA, Chief of Staff, Ops Coordinator, PM-style EA)
- Excellent written English
- Strong scheduling instincts (time zones, confirmations, “no surprises”)
- Organized, detail-driven, and calm under pressure
- Able to work with high speed and shifting priorities
Tools You Should Be Comfortable With:
- Google Calendar + Gmail (expert level)
- Slack
- Notion / ClickUp / Asana (at least one)
- Google Drive (docs, sheets, folders)
- Basic AI tools (ChatGPT, Grammarly, Loom, etc.)
- You don’t have to be an AI nerd, but you should be comfortable using modern tools.
Nice-to-Haves:
- Experience supporting a founder in a startup environment
- Light project management experience
- Experience with hiring coordination, vendor management, or ops support
