Objectives of this Role

  • Serve as the primary point of contact, providing essential information, answering inquiries, and responding to requests promptly.
  • Ensure the optimal utilization of office equipment, supplies, and inventories through proactive management and preventive maintenance.
  • Maintain and improve workflow efficiency by analyzing and refining standard operating procedures, including scheduling, internal communications, and organizational layout.
  • Coordinate both internal and external resources seamlessly to expedite workflow and project completion.
  • Oversee and contribute to the achievement of organizational goals while consistently upholding best practices.

Responsibilities

  • Provide virtual front-desk coverage, managing a busy communication system, handling incoming/outgoing digital correspondence, and ensuring an organized virtual environment.
  • Deliver comprehensive administrative support to senior leaders, including drafting and managing email correspondence, and generating and distributing memos, letters, spreadsheets, forms, and other documents.
  • Plan, organize, and schedule company meetings, whether virtually or coordinating logistics for off-site gatherings.
  • Coordinate domestic and international travel arrangements for employees, managing itineraries and bookings.
  • Maintain organized digital filing systems, contact databases, employee lists, and virtual inventory records.
  • Order and oversee office supplies and coordinate food deliveries for virtual or physical group meetings as needed.

Required Skills and Qualifications

  • High school diploma or equivalent.
  • Proven administrative experience in a professional setting.
  • Superb written and verbal communication skills.
  • Strong time-management skills and demonstrated ability to multitask effectively.
  • Aptitude for quickly learning and adapting to new software and systems.

Preferred Skills and Qualifications

  • College degree or equivalent professional certifications.
  • Previous success in office management or a similar leadership support role.
  • Experience managing budgets and processing expenses.
  • Experience developing and implementing internal processes and efficient filing systems.
  • Comfortable handling confidential information with discretion and integrity.
