Executive Assistant & Events Coordinator at RMIT University
RMIT University is seeking an Executive Assistant & Events Coordinator for a full-time, continuing position. This role offers a salary at HEW Level 7 ($103,603 - $112,114) plus 17% Superannuation and flexible working arrangements. The position is based at the Melbourne CBD campus, with hybrid ways of working.
About the Role
As the Executive Assistant & Events Coordinator, you will provide high-level executive support to the University Secretary and Academic Registrar (USARG). This pivotal role involves streamlining operations across the Office, coordinating leadership activities, and managing stakeholder engagement. You will be responsible for diverse administrative tasks and event management.
What You'll Do
- Manage travel arrangements, appointments, and meetings for the University Secretary and Academic Registrar.
- Organise and coordinate a variety of events, including large-scale internal and external USARG events and all University graduations.
- Ensure effective and timely responses to stakeholder enquiries from students, staff, and visitors.
- Support operational functions in close collaboration with the Manager Operations, USARG.
- Coordinate internal and external communication on behalf of the University Secretary and Academic Registrar.
- Oversee selected Committee and secretariat requirements, including the preparation of papers, reports, and submissions.

What You'll Bring
- Demonstrated experience providing high-level executive and administrative support to an executive or equivalent within a university or similar large, complex organisation.
- Proven experience in event coordination and support, including planning, organising, and providing onsite assistance for smooth event operations.
- Excellent interpersonal skills, with the confidence to interact and negotiate with a wide range of internal and external stakeholders (executives, senior academics, business community, government).
- Exceptional written and verbal communication skills, exercising diplomacy, discretion, courtesy, tact, sensitivity, and confidentiality.
- Proven capacity to work efficiently and flexibly, both independently and collaboratively, to deliver high-quality, customer-focused services.
- Significant ability to exercise initiative, judgment, and problem-solving independently, taking responsibility for end-to-end task completion within tight deadlines and competing priorities.
- High-level computer literacy, proficient in Microsoft Office 365 applications (Word, Excel, PowerPoint, Teams, Outlook), Adobe Acrobat, electronic document/record management systems, and internet tools.
