About the Opportunity: Operations Specialist and Executive Assistant

As an Operations Specialist and Executive Assistant, you will play a pivotal role in creating leverage for the CEO and managing the operational and talent infrastructure that supports the organization's rapidly scaling portfolio companies. This dynamic position combines high-level executive assistance with hands-on business operations, portfolio coordination, and internal execution, ensuring all critical tasks are completed efficiently and to the highest standards.

Key Responsibilities

  • Provide comprehensive daily administrative support to the CEO and other key leaders, encompassing complex calendar management, detailed travel coordination, meeting logistics, thorough preparation, and effective follow-up.
  • Ensure the CEO remains focused on high-priority strategic initiatives by anticipating needs, diligently tracking action items, and ensuring all loops are closed.
  • Assist in the meticulous preparation for critical meetings involving boards, investors, partners, and the CEOs of portfolio companies.
  • Manage limited personal logistics to optimize executive effectiveness and productivity.
  • Oversee Builders-in-Residence operations, including the creation of onboarding materials, training programs, cohort logistics, rotation scheduling, and performance review cycles.
  • Support hiring operations across the entire portfolio, which includes interview and candidate coordination, managing offer logistics, developing onboarding and offboarding checklists, and preparing compensation materials.
  • Draft, manage, and meticulously track offers, consulting agreements, Non-Disclosure Agreements (NDAs), and all related documentation; coordinate seamlessly with legal and finance departments; and continuously maintain and improve offer and agreement playbooks.
  • Execute essential operational tasks for portfolio programs and events, such as company offsites, exclusive thought leadership dinners, and industry conferences.
  • Support the rollout of Objectives and Key Results (OKR), facilitate feedback processes, and manage manager training logistics across the organization and its portfolio companies.
  • Assist with various marketing efforts as needed.

Requirements

  • 3 to 7+ years of progressive experience in operations, executive support, people operations, or program management, ideally within high-growth startups, venture capital firms, or similar fast-paced environments.
  • Demonstrated strong organizational judgment and impeccable attention to detail, with the proven ability to efficiently manage multiple complex workstreams simultaneously.
  • Exhibits high discretion, unwavering reliability, consistent follow-through, and exceptional productivity.
  • Possesses clear and concise communication skills, remains calm and effective under pressure, and is comfortable engaging with senior leaders.
  • A genuine interest in company-building, talent development, and actively supporting fast-scaling teams.
  • This is primarily a business- and investment-facing role offering meaningful exposure to portfolio operations and firm strategy, with occasional support for personal logistics.
