About the Opportunity

The organization is rapidly scaling along with its portfolio companies. The Operations Specialist and Executive Assistant role exists to create leverage for the CEO while managing the operating and talent infrastructure supporting the organization's investments. This position combines executive assistance with hands-on business operations, portfolio coordination, and internal execution, ensuring critical tasks are completed efficiently and to high standards.

Responsibilities

  • Provide daily administrative support to the CEO and key leaders, including complex calendar management, travel coordination, meeting logistics, preparation, and follow-up.
  • Keep the CEO focused on high-priority tasks by anticipating needs, tracking action items, and closing loops.
  • Assist with preparation for key meetings involving boards, investors, partners, and portfolio CEOs.
  • Manage limited personal logistics that support executive effectiveness.
  • Oversee Builders-in-Residence operations including onboarding materials, training, cohort logistics, rotation scheduling, and review cycles.
  • Support hiring operations across the portfolio, including interview and candidate coordination, offer logistics, onboarding and offboarding checklists, and compensation materials.
  • Draft, manage, and track offers, consulting agreements, NDAs, and related documentation; coordinate with legal and finance; maintain and improve offer and agreement playbooks.
  • Execute operational tasks for portfolio programs and events such as offsites, thought leadership dinners, and conferences.
  • Support OKR rollout, feedback processes, and manager training logistics across the organization and portfolio companies.
  • Assist with marketing efforts.

Requirements

  • 3 to 7+ years of experience in operations, executive support, people operations, or program management in high-growth startups, venture capital, or similar environments.
  • Strong organizational judgment and attention to detail; able to manage multiple workstreams efficiently.
  • High discretion, reliability, follow-through, and productivity.
  • Clear communication skills; calm under pressure and comfortable working with senior leaders.
  • Interest in company-building, talent, and supporting fast-scaling teams.
  • Primarily business- and investment-facing role with meaningful exposure to portfolio operations and firm strategy; occasional personal logistics support.
