About the Opportunity for an Operations Specialist and Executive Assistant

The organization is experiencing rapid scaling alongside its portfolio companies. This pivotal role is designed to provide significant leverage for the CEO while strategically managing the operational and talent infrastructure that supports the organization's investments. It uniquely blends executive assistance with hands-on business operations, meticulous portfolio coordination, and efficient internal execution, ensuring all critical tasks are completed with high standards and efficiency.

Responsibilities

  • Provide daily administrative support to the CEO and key leaders, including complex calendar management, comprehensive travel coordination, detailed meeting logistics, thorough preparation, and diligent follow-up.
  • Keep the CEO focused on high-priority tasks by anticipating needs, proactively tracking action items, and ensuring all loose ends are closed.
  • Assist with meticulous preparation for key meetings involving boards, investors, partners, and portfolio CEOs.
  • Manage limited personal logistics that are essential for supporting executive effectiveness.
  • Oversee Builders-in-Residence operations, including the development of onboarding materials, training programs, cohort logistics, rotation scheduling, and comprehensive review cycles.
  • Support critical hiring operations across the entire portfolio, encompassing interview and candidate coordination, offer logistics, meticulous onboarding and offboarding checklists, and accurate compensation materials.
  • Draft, manage, and track offers, consulting agreements, Non-Disclosure Agreements (NDAs), and all related documentation; coordinate seamlessly with legal and finance departments; and continuously maintain and improve offer and agreement playbooks.
  • Execute diverse operational tasks for portfolio programs and events such as offsites, exclusive thought leadership dinners, and professional conferences.
  • Support the rollout of Objectives and Key Results (OKR), facilitate feedback processes, and manage manager training logistics across the organization and its portfolio companies.
  • Assist with various marketing efforts as needed.

Requirements

  • 3 to 7+ years of experience in operations, executive support, people operations, or program management, ideally within high-growth startups, venture capital firms, or similar dynamic environments.
  • Demonstrated strong organizational judgment and exceptional attention to detail; proven ability to efficiently manage multiple complex workstreams simultaneously.
  • High degree of discretion, unwavering reliability, consistent follow-through, and strong productivity.
  • Clear and concise communication skills; ability to remain calm and effective under pressure, and comfortable working directly with senior leaders.
  • A genuine interest in company-building, talent development, and actively supporting fast-scaling teams.
  • Primarily a business- and investment-facing role with significant exposure to portfolio operations and firm strategy; occasional support for personal logistics is also required.
