About the Opportunity

The organization is an organic growth agency partnering with ambitious B2B SaaS companies like SAP, Adobe, Loom, and Hotjar to turn SEO and content into growth engines. As an Operations & Administrative Assistant, you will ensure smooth business operations across operations, sales, and client delivery. You will handle core administrative tasks, build repeatable processes, and support leadership as the business scales. In addition, you will explore efficiency improvements using AI and automation.

Your Responsibilities

Project Management & Operations

  • Follow up on meetings and add tasks to the project management tool.
  • Monitor Asana for overdue tasks or blockers and flag issues.
  • Follow up on incomplete time sheets and build monthly capacity reports.
  • Build custom GPTs to streamline work and research.
  • Create SOPs for repeatable administrative tasks.

Content & Editorial Support

  • Use automations to generate content briefs using client input.
  • Produce Clearscope reports and upload content into CMS like WordPress and Webflow.
  • Maintain and update client content brief templates.

Sales & Marketing

  • Support podcast publishing workflow and update the organization’s website.
  • Repurpose content using AI workflows and upload for approval.
  • Draft initial sales proposals using AI and presentation templates.
  • Organize sales proposals and client files in Google Drive.

Recruitment & People Ops

  • Perform initial applicant screening and schedule candidate interviews using Ashby.
  • Support hiring by setting up sourcing and sequence tools.
  • Enable tool access and automation for freelancers.

Who You Are

You have 2+ years of experience as an Executive or Operations Assistant in a remote setup. You communicate progress proactively, possess outstanding written and verbal skills, and are organized and detail-oriented. A problem solver, you independently tackle challenges, seek feedback, and continuously aim to improve your skills. Familiarity with tools like Asana, Airtable, Google Drive, Slack, Notion, 1Password, Calendly, and Fireflies.ai is essential. A basic marketing understanding is a plus.
