Job Description
Executive Assistant at RBC
In this role, you will provide administrative, executive assistance / coordination to the Group Head, T&O, supporting senior leadership within RBC.
What will you do?
- Act as the key contact for the executive you support.
- Manage and maintain calendars, coordinating meetings, conferences, and travel arrangements.
- Monitor an inbox to manage meeting proposals, action items, and delegate inquiries.
- Organize video and in-person meetings, including booking locations and equipment.
- Set up and coordinate business planning sessions, town halls, staff meetings, and one-on-one’s with direct reports.
- Follow up on agenda items and deliverables, coordinating with facilitators and presenters.
- Support overall senior management team objectives with meeting planning and materials.
- Coordinate travel and hotel arrangements for the team as needed.
- Process monthly expense reports and maintain vacation schedules and records in Workday.
- Validate expense reports prior to Group Head’s approval.
- Proactively seek opportunities to provide additional value and meet deadlines.
- Collaborate with other executive assistants for effective planning and provide administrative back-up.
- Support agility, utilize new tools and skills, and identify/execute efficiencies.
- Assist the Group Head in driving employee engagement through social events, coffee chats, and focus groups.
- Prepare presentation materials and meeting agendas.
- Ensure relevant information is accessible and prepared for meetings.
What do you need to Succeed?
Must Have:
- 10+ years’ experience in executive administration/coordinator, supporting senior level management.
- Strong interpersonal and diplomacy skills, comfortable dealing with all organizational levels.
- Ability to thrive in a collaborative, fast-paced environment and prioritize activities effectively.
- Adaptability to change and continuously shifting requirements.
- Ability to work efficiently and accurately with minimal supervision.
- Highly proficient in Microsoft Word, PowerPoint, Excel, Outlook for document and slide deck creation/editing.
- Strong organizational skills, including planning, scheduling, and calendar management.
