What We're Looking For

We are seeking a Web Operations Manager to take full ownership of Persona's expanding digital ecosystem. This encompasses overseeing multiple websites, various tools, and the systems that power our therapy and wellness network.

The ideal candidate will manage and enhance daily web operations, ensuring all systems function efficiently. They will continuously seek smarter, more automated approaches to work. This role requires hands-on experience with WordPress and related platforms, a proactive attitude towards problem-solving, and confidence in recommending new tools and technologies to improve workflow and performance.

While not a full-stack developer role, technical fluency is essential. You should be capable of understanding, troubleshooting, and effectively communicating with developers when advanced coding is necessary.

Responsibilities – What You'll Do

  • Website & Systems Ownership
    • Manage and maintain all organizational websites (WordPress, Squarespace).
    • Ensure platforms are updated, secure, and fully functional across various devices and browsers.
    • Troubleshoot minor issues and implement front-end fixes using HTML, CSS, or JavaScript.
    • Maintain hosting, domains, SSL certificates, and manage plugin updates.
    • Document systems, credentials, and workflows to ensure continuity and smooth operations.
    • Take complete ownership of web operations, ensuring organization, consistency, and reliability.
  • Content Management & Publishing
    • Upload and format pages, blogs, and resources within WordPress or Squarespace.
    • Update site copy, links, and Calls-to-Action (CTAs) across multiple pages and platforms.
    • Manage PDFs, brochures, and downloadable assets, ensuring accuracy and alignment with live content.
    • Coordinate efficiently with the marketing team to implement design or copy updates.
  • Automation, AI, & Workflow Optimization
    • Manage and expand automations within ActiveCampaign (email journeys, tagging, segmentation, and lead capture flows).
    • Leverage knowledge of other automation tools like Zapier or Make to enhance workflow efficiency.
    • Integrate tools such as Airtable, Jotform, or Softr to streamline internal systems.
    • Utilize AI tools (e.g., ChatGPT, Midjourney, or automation assistants) to accelerate updates, testing, and documentation.
    • Proactively identify opportunities to automate recurring tasks and improve team efficiency.
    • Stay informed about emerging technologies and share insights beneficial for digital operations.
  • Analytics & Search Infrastructure
    • Manage Google Analytics, Google Search Console, and XML sitemaps for all sites.
    • Ensure correct indexing, page structure, and overall site visibility.
    • Support performance tracking and provide keyword insight reporting.
  • Collaboration & Continuous Improvement
    • Work closely with marketing, operations, and design teams to align web systems with brand goals.
    • Ensure a cohesive and optimal user experience across all sites and platforms.
    • Proactively recommend improvements, from new plugins to workflow enhancements.
    • Maintain organized processes, thorough documentation, and clear communication across teams.

Qualifications

Required Skills

  • 3–5 years of experience managing websites or digital systems.
  • Strong proficiency with WordPress (including Divi, Elementor, or similar page builders) and working knowledge of Squarespace.
  • Familiarity with HTML, CSS, and JavaScript for front-end troubleshooting.
  • Experience managing automations within ActiveCampaign or similar CRM platforms.
  • Understanding of workflow automation tools (e.g., Zapier, Make) and strategic application.
  • Solid understanding of Google Analytics and Google Search Console.
  • Excellent organizational and documentation skills.
  • Ability to work independently, manage multiple projects, and communicate effectively with both technical and non-technical collaborators.
  • Fully fluent in English.
  • Ability to commit long-term and full-time.

Nice to Have

  • Experience with Airtable or Softr.
  • Knowledge of HIPAA-conscious data handling and website security.
  • Curiosity about AI, automation, and emerging technology.
  • Experience coordinating with developers or creative teams.
