Job Overview
The Executive Assistant Wealth Management Industry will support a Managing Partner with back-office administrative tasks. This role requires prior experience in wealth management or financial services and proficiency with specific industry software.
Responsibilities
- Manage administrative tasks for the Managing Partner
- Prepare, track, and organize client forms and paperwork
- Send client invitations and distribute review packs
- Maintain DocuSign templates and track completion
- Manage calendar scheduling and meeting coordination
- Organize tasks and deadlines within the CRM system
- Follow up on outstanding items to meet timelines
Requirements
- 1-3 years experience as an administrative or executive assistant
- Experience in wealth management or financial services preferred
- Proficiency with at least two tools: Redtail CRM, Orion, E-Money, or Charles Schwab
- Strong organizational skills with handling sensitive information
- Excellent knowledge of cloud systems and online calendars
- Fully fluent in English and adept at using apps and technology
- Ability to work U.S. business hours
- A commitment to long-term, full-time engagement
Ideal Candidate
Background in wealth management, financial planning, or investment firms, with an ability to quickly learn new financial software. Candidates should be reliable, discreet, detail-oriented, and able to work independently.
