Job Description
Administrative Assistant Project Coordinator at Perkins&Will
Perkins&Will is seeking a motivated Administrative Assistant/Project Coordinator to provide essential support to Project Managers and Principals across various practice areas. This role is crucial for ensuring the smooth operation of projects from initiation to completion.
Key Responsibilities:
- Provide comprehensive project support to Project Managers and Principals.
- Create consultant agreements and Owner/Architect agreements using AIA software.
- Analyze project data, including staffing and timelines.
- Maintain accurate staffing data in coordination with Project Managers.
- Update client contracts with negotiated terms and incorporated edits.
- Manage the submission of client contracts to the legal department for review and track the review process.
- Send correspondence to Consultants and General Contractors.
- Request Certificates of Insurance from the legal department.
- Assist the Director of Operations/Project Managers with various administrative tasks.
Additional Studio Support Tasks:
- Assist studio leaders with travel arrangements and expense reports.
- Organize and schedule meetings and appointments.
- Order catering and set up for internal and client meetings.
- Support front desk operations, including answering phones and managing mail/deliveries.
Required Skills:
- Effective verbal, written communication, and organizational skills.
- Strong attention to detail and excellent time management.
- Proven ability to execute tasks independently.
- Comfortable with data analysis and administrative duties.
Software Proficiency:
- Microsoft Outlook, Word, Excel, PowerPoint.
- Deltek.
Education and Certifications:
- Bachelor's degree preferred but not required.
