About the Human Resources Specialist role
The position is at a workforce training company. The Human Resources Specialist is crucial to ensuring a consistent and good employee experience throughout the business. This job is in charge of implementing critical employee lifecycle procedures such as onboarding, offboarding, HRIS upgrades, compliance paperwork, and day-to-day employee assistance.
The Specialist collaborates closely with the Talent Acquisition, Payroll, IT, and campus teams to ensure that systems stay correct, procedures are compliant, and workers and managers receive prompt, professional assistance. The ideal applicant is detail-oriented, customer-focused, and enjoys working in a fast-paced, compliance-driven workplace.
Responsibilities
- Coordinate the onboarding process from offer acceptance to the employee's first day, providing a seamless transfer.
- Collaborate with recruiting managers and IT to provide system access, credentials, and equipment for new employees.
- Manage internal transfers and staff changes with HRIS systems.
- Terminations should be processed, documents verified, and access removal and equipment return coordinated.
- Collect and validate I-9 documents, fulfill E-Verify requirements, and make sure federal compliance deadlines are fulfilled.
- Maintain correct personnel information in HRIS, Smartsheets, and other systems.
- Enroll staff in needed compliance training and monitor their progress.
- Provide timely information to Payroll regarding new hiring, terminations, and personnel changes.
- Respond to general employee queries and direct requests to the proper departments as required.
- Collaborate with HR, Talent Acquisition, Payroll, IT, and campus teams to enhance procedures and minimize mistakes.
Qualifications
Education & Experience
- A bachelor's degree in human resource management, business administration, or a similar discipline is recommended.
- A minimum of two years of experience in human resources, onboarding, or people operations is desired.
Knowledge & Skills
- Understand the I-9 and E-Verify compliance requirements.
- Experience with HRIS systems (e.g., ADP Workforce Now), Smartsheet, and Microsoft Office apps.
- Strong organizational abilities and outstanding attention to detail.
- Capability to handle many priorities in a deadline-driven situation.
- Excellent verbal and written communication abilities, with a customer-service orientation.
- Demonstrated ability to manage private information with integrity and discretion.
