The Job
The Procurement Specialist owns end-to-end procurement operations across energy efficiency projects. This role drives accurate and timely execution of material procurement, vendor coordination, and cross-functional communication to ensure seamless project delivery. The ideal candidate is highly detail-oriented, organized, and solutions-focused, with the ability to independently manage multiple product lines and vendor relationships while maintaining data integrity across integrated business systems.
This is an in-office position based full-time in our Downtown Vancouver office.
The salary range for this position is $62,000 - $77,000
Essential Duties
- Own end-to-end procurement lifecycle from request through delivery
- Act as primary point of contact for vendors and internal stakeholders, driving alignment and accountability
- Own procurement timelines and proactively mitigate risks to project delivery
- Manage vendor performance, including escalation, negotiation, and accountability for timelines and deliverables
General Duties
- Ensure complete and accurate procurement records at all times, including purchase order logs, vendor quotes, subcontractor documentation, and compliance materials
- Own end-to-end purchase order lifecycle from submittal through fulfillment, ensuring execution aligns with approved requests and project requirements
- Proactively track order delivery status and take swift corrective action to resolve delays or discrepancies with vendors, protecting project timelines and on-site delivery commitments
- Own the flow of Purchase Order and Material & Service Requests tasks in task management platform and ensure data integrity of Procurement related properties across multiple integrated systems including CRM and Accounting software
- Serve as the primary point of contact for internal stakeholder inquiries, delivering timely and accurate updates on lead times, availability, and shipment status
- Lead vendor coordination meetings to confirm order status, expedite lead times, and resolve order-related inquiries with professionalism and accountability
- Verify vendor invoices against purchase orders and partner with Accounting to ensure invoice reconciliation accuracy and audit readiness
- Prepare and maintain Reseller's Certification documentation required for vendor transactions, ensuring completeness and compliance
- Execute and track subcontractor agreements and Master Service Agreements (MSAs) to ensure contractual compliance and documentation accuracy
- Verify Subcontractor validity and contractor state status for each labor request. Escalate to Project Manager and Project Support for non-verified subcontractor selection
- Identify and implement improvements to procurement workflows, documentation processes, and system integrations to enhance operational efficiency
- Perform other duties as assigned
Requirements
- Bachelor's degree in Business, Supply Chain, or a related field; 3-7 years of relevant procurement or operations experience; or or an equivalent combination of education and experience
- Demonstrated experience in procurement, purchasing, or supply chain operations; background in construction, energy, or energy efficiency sectors strongly preferred
- Proficiency in Microsoft 365 and other task management, CRM, or accounting software required; hands-on experience with platforms such as NetSuite, HubSpot, Sage Intacct, QuickBooks, Smartsheet, or Wrike strongly preferred
- Exceptional attention to detail and accuracy in high-volume, fast-paced procurement environments
- Skilled at navigating vendor disputes, supply chain disruptions, and internal stakeholder conflicts with composure, persistence, and professionalism
- Excellent communication skills (both written and verbal) and vendor-facing professionalism
- Ability to multi-task and manage competing priorities in a fast paced and deadline-driven environment, with minimal supervision
- Strong internal stakeholder partnership skills with a solutions-oriented, service-driven approach
- Self-directed and proactive, with a track record of identifying issues and taking initiative before they escalate
- Strategic thinking applied to procurement planning, risk anticipation, and vendor relationship management
- Analytical approach to process evaluation, with a demonstrated focus on continuous improvement and operational efficiency
