About the Team and the Role

The Administration team plays a critical role in ensuring smooth day-to-day operations across the organisation. From managing records to maintaining infrastructure processes, the team ensures compliance, organisation, and operational efficiency.

As a Documentation Specialist, you will be responsible for managing company documentation systems, ensuring accurate record-keeping, and supporting facility and asset maintenance processes.

What will you do?

  • Organise and maintain structured physical and digital archiving systems.
  • Label, sort, and categorise documents for easy retrieval and usability.
  • Retrieve records upon request and ensure timely access to documents.
  • Ensure compliance with regulatory and internal documentation standards.
  • Maintain documentation integrity, version control, and controlled access.
  • Remove obsolete documents in line with retention policies.
  • Support internal and external audits by ensuring documentation readiness.
  • Coordinate with teams to maintain consistent documentation practices.
  • Train employees on documentation processes and best practices.
  • Utilise storage software and electronic filing systems effectively.
  • Assist with transcription, formatting, and proofreading of documents when required.

Who are we looking for?

  • Bachelor’s degree in Business Administration or a related field.
  • 1-3 years of experience in administration, documentation management, or facility coordination.
  • Strong documentation and record-management skills.
  • Familiarity with MS Office.
  • Basic understanding of compliance and regulatory documentation.
  • Strong coordination and communication skills.
  • High level of integrity and discretion in handling sensitive information.
  • Ability to multitask and prioritise effectively.
