Key Responsibilities of the Administrative Assistant

  • Manage comprehensive front desk duties, including answering phones, emails, and physical mail.
  • Oversee office supply inventory and ordering, ensuring smooth operations.
  • Coordinate and manage conference room schedules and bookings.
  • Maintain and update critical internal documents such as the intranet, directories, and organizational charts.
  • Provide essential HR support to the Chief Human Resources Officer and home office Directors of Human Resources for various responsibilities and special projects.
  • Monitor access, respond to inquiries, follow up on issues, and conduct audits for HR programs.
  • Perform general office support and administrative tasks for the leadership team.

Required Qualifications

  • Associate degree in office administration, human resources, or a related field is preferred.
  • Possess 3-5+ years of demonstrable experience in executive-level administrative support, office management, or human resources.
  • Expert proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, OneDrive, Visio, and Outlook.
  • Familiarity with Adobe and Webex platforms.
  • Exceptional written and verbal communication skills.
  • Superior organizational and time management capabilities.
