Coordinator, Speaker Programs

OPEN Health is seeking a Coordinator, Speaker Programs to support the Speaker Programs Manager. The role focuses on full administrative support to plan, execute, and finalize programs from inception through completion.

Job Responsibilities

The Coordinator is responsible for all administrative tasks related to Speaker Programs events. This includes sourcing, contracting, coordinating with venues, maintaining event trackers and BEOs, managing expenses, and ensuring compliance protocols. Responsibilities also include the development and approval of hotel contracts, budget allocation for food & beverage, room rentals, and audio visual needs.

  • Sourcing venues and managing logistics
  • Coordinating room requirements, AV, and budgets
  • Handling contracts, RSVPs, and client communications
  • Maintaining event trackers and post-program cost reporting
  • Collaborating with internal teams and vendors

Specific Tasks

Tasks include KOL recruitment, agreement management, travel coordination, hotel and client meeting coordination, contract negotiation, registration tracking, budget reconciliations, and compliance reporting. Proficiency in Microsoft Office, Salesforce, and CVENT is beneficial.

Experience, Skills, and Qualifications

Bachelor’s Degree in communication or business is required with 1-2 years experience. Must exhibit strong analytical, communication, and organizational skills. Customer service expertise is essential.

Travel and Work Environment

Some travel may be required, including weekend and evening hours. This is a vendor-facing position demanding excellent customer service skills.
