About the role
Job Summary
The Food & Beverage Admin Assistant supports the Food and Beverage Directors by managing administrative tasks, cost controls, payroll, and budget controls, while also performing executive office reception duties.
Key Responsibilities
- Distribute weekly Medallia reports to the DALDTN Food & Beverage Manager Outlook distribution list.
- Maintain the Food and Beverage Schedule, coordinating with accounting, and entering data from Oracle and Delphi reports as requested.
- Process expense reports for the Food & Beverage Director and Executive Chef, and assist other managers.
- Maintain office supplies stock for the Food & Beverage Department and order supplies via Birchstreet.
- Purchase menu and Food & Beverage Marketing related items via Birchstreet and other vendors.
- Coordinate with the Purchasing Department for P.O.s and ensure month-end accounting.
- Address invoice issues reported by the Accounting Department.
- Prepare monthly reports and paperwork for the following month.
- Assist with creating and maintaining tracking spreadsheets.
- Conduct bi-annual competitor restaurant analysis, obtaining pricing and menu information.
- Enter and track Synergy requests, and request access for new managers.
- Coordinate Food and Beverage Manager On-boarding with relevant departments.
- Maintain department bulletin boards with up-to-date information.
- Manage the Food & Beverage folder on the public drive and distribution lists.
- Create and coordinate printing of Food and Beverage Marketing collateral, abiding by Brand Standards.
- Format, print, and order restaurant menus, labels, and signs.
- Complete monthly menu price audits on Micros and track P-mix.
- Manage Open Table for all restaurants, ensuring accurate information.
- Attend meetings as designated by the Director of Food & Beverage.
- Update and distribute Server Book and In Room Dining Amenity Book.
- Maintain menu item database and assist with annual menu price audits.
- Communicate current menu file locations and update Associate Café menus.
- Send requests to Corporate to update website information and menu links.
- Update restaurant website and Facebook pages.
- Coordinate promotional items, menus, and signs for events.
- Complete other assigned Food & Beverage related duties and projects.
- Log Medallia individual performance opportunities and successes.
Qualifications
- Prior experience in food and beverage or hospitality, preferably in a 4-diamond resort.
- Customer service and prior administrative experience preferred.
- Knowledge of Microsoft Word, Excel, Delphi or similar programs.
- Excellent organizational and communication skills.
- Ability to communicate with a diverse group of associates.
- Must have or obtain required certifications (e.g., TABC and Food Handler’s).
