Job Description

Education Coordinator - Cardiac Surgery

Northwestern Medicine is seeking a purpose-driven Education Coordinator to join their team. This role involves the operational and financial management of accredited/non-accredited medical education training programs, requiring a deep understanding of national accreditation policies and hospital procedures. The coordinator will manage long-range planning, trainee recruitment, database maintenance, and communication with faculty and trainees.

Key Responsibilities:

  • Administration: Support program directors, maintain databases, manage filing systems, and develop schedules.
  • Budgets & Financial: Monitor program budgets, process payments, assess equipment needs, and manage purchasing.
  • Communication, Outreach & Recruitment: Handle 'match' responsibilities, manage application systems, organize meetings, create program advertising, maintain the program website, and respond to inquiries.
  • Evaluation: Facilitate evaluation processes for trainees, programs, and faculty; recommend workflow improvements.
  • Human Resources: Oversee trainee orientation, manage onboarding requirements, and process initial paperwork for visa requests.
  • Program Development: Assist with accreditation preparations and policy development; understand program curriculum and educational goals.
  • Regulatory Compliance: Ensure compliance with ACGME and hospital policies; track trainee licensing, contracts, and duty hours.
  • Trainee Support: Provide administrative support and guidance to trainees, coordinate rotations, and act as a liaison between trainees and hospital administration.
  • Supervision: Offer administrative guidance to trainees and potentially train new coordinators.

Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience required.
  • One year of experience in program/project administration or a relevant field required.
  • Previous program administration experience in undergraduate or graduate medical education is preferred.
