About the role
Executive Assistant - Group Office
We are seeking an organised and proactive Executive Assistant to join the Group Office at Norfolk and Waveney University Hospital Group. This pivotal role provides high-level administrative and secretarial support to the Group Chief Executive and the Group Chair, ensuring their effectiveness in focusing on strategic priorities.
Key Responsibilities:
- Manage complex and competing priorities, offering end-to-end support for the Group Chief Executive and Group Chair.
- Proactively manage multiple diaries, organise meetings and events, and ensure timely preparation of agendas, papers, and briefing packs.
- Take accurate minutes, track action items to deadlines, and draft/quality-assure correspondence and briefings.
- Serve as a first point of contact for internal and external enquiries with discretion and initiative.
- Produce high-quality documents and presentations to corporate standards.
- Support discrete projects as required.
Decision Making:
- Prioritise and reshape diaries and meeting requests based on urgency, strategic importance, and stakeholder considerations.
- Determine necessary information for senior leader briefings and chase contributions to meet deadlines.
- Resolve routine enquiries and issues on behalf of senior leaders, escalating only when appropriate.
