Overview

The Document Administration Collateral Specialist III at Newrez LLC is responsible for receiving, cataloging, and shipping requested collateral and documentation to 3rd party firms, custodians, and vendors. This role requires heavy communication with vendors, custodians, servicing, and originations partners to ensure timely processing of collateral requests.

Primary Function

Key responsibilities include mastering all systems and processes related to collateral requests, handling confidential material professionally, and acting as a resource for junior team members. This is a hands-on, on-site role where physical task execution is critical.

Principal Duties

  • Accurately complete documentation within specific SLAs.
  • Request collateral files from designated custodians.
  • Identify and cure collateral exceptions for delivery and certification.
  • Address inquiries from vendors, investors, and portfolio managers.
  • Review daily task queues and update systems accordingly.
  • Maintain real-time inventories of physical and digital collateral.
  • Perform monthly inventory audits and prepare varied reports.
  • Utilize advanced knowledge of servicing systems, MERS, and investor requirements.

Requirements

High school diploma or equivalent required; associate or bachelor’s degree preferred. Minimum 5 years' experience in Document Administration in Mortgage Servicing or a similar field, including prior performance evaluations for internal candidates.

Technical & Soft Skills

  • Advanced knowledge of mortgage servicing and originations processes.
  • Proficiency with MS Office, particularly Word, Excel, and Outlook.
  • Strong communication and time management skills.
  • Ability to analyze data and use various systems (collateral tracking, custodial, vendor systems).

On-site Requirement

This role is strictly on-site to ensure effective oversight, collaboration, and productivity. All employees must have smartphones that meet Newrez security standards.
