Position Summary
The Registration Representative position at NeighborHealth Center (NHC) is responsible for a variety of administrative tasks essential for efficient patient care, including handling incoming calls, scheduling appointments, and registering patients. After training, the representative is assigned to a Care Team to assist in managing the patient population.
Principal Duties and Responsibilities
Appointment Scheduling:
- Answer inbound phone calls and act as a switchboard operator.
- Make appointments for patients.
- Process appointment cancellations and rescheduling as needed.
Patient Registration:
- Complete registration process including demographic and insurance verification.
- Enter and update data in the patient management system.
- Collect payments, create charts, and perform clerical work.
- Assist patients with questions and form completions related to insurance.
- Prepare the work area each business day with necessary clerical tasks.
- Process various reports like missed appointments and pre-verification reports.
- Follow protocols for lab-only visits and other specialized functions.
- Support the assigned Care Team in completing additional tasks.
Working Standards and Documentation
- Greet and interact with patients, staff, and visitors in a professional manner.
- Maintain and update worklists to minimize patient delays.
- Document work accurately and promptly in the practice management system.
- Comply with regulatory standards, laws, and organizational policies.
- Regularly check and respond to mail, email, and voicemail promptly.
- Share responsibilities of cleaning, stocking, and organizing work areas.
- Work a flexible schedule including various locations and hours.
- Offer limited language interpretation for scheduling and payment information if bilingual.
- Perform additional tasks to support the care team as required.
Requirements
Required Skills or Abilities:
- Strong interpersonal skills for diverse age groups and cultures.
- Computer literacy with proficiency in Windows, Outlook, Word, Excel and keyboard proficiency (45 wpm minimum).
- Ability to build inclusive relationships with co-workers and community.
- Advocacy for individuals of varied backgrounds.
- Knowledge of insurance is a plus.
- High personal integrity, punctuality, honesty, and detail orientation.
- Ability to work independently and multi-task in a fast-paced environment.
- Flexibility to adapt to changing schedules and work conditions.
- Effective written and verbal communication skills.
- Adherence to organizational policies and the mission of NHC.
Required Knowledge, Experience, or Licensure/Registration:
- High School Diploma or equivalent.
- Experience in customer service, office work, or clinical settings.
- Fluency in English; bilingual ability preferred.
- Ability to work onsite Mondays through Fridays between 8am and 5pm.
- Required vaccinations and immunizations.
This is a full-time, nonexempt position.
