Materials Coordinator Overview

The Materials Coordinator role at NANA supports procurement and sales operations in a fast-paced Value-Added Reseller (VAR) environment. This position manages direct shipments from suppliers to customers, expedites orders and ensures that all documentation is complete and timely.

Responsibilities

  • Order Coordination: Manage and track orders from placement through delivery.
  • Expediting Orders: Monitor lead times and expedite critical shipments.
  • POD Management: Obtain and archive proof of delivery documents.
  • Vendor Communication: Liaise with suppliers and internal teams for order confirmations.
  • Shipping & Logistics: Coordinate drop-shipments ensuring proper documentation and compliance.
  • Documentation & Systems: Maintain order data in ERP/order management systems.
  • Issue Resolution: Investigate and resolve delivery discrepancies and shipping errors.
  • Cross-Functional Support: Collaborate with purchasing, sales, and customer service teams.

Qualifications

Candidates should have a high school diploma (associate degree preferred), 2+ years experience in a VAR or similar distribution model, and strong knowledge of shipping processes using carriers such as FedEx, UPS, and freight. Experience in managing drop-ship logistics and proficiency in ERP systems (NetSuite, SAP, QuickBooks Enterprise) is essential. Excellent organizational, communication, and follow-up skills are required.

Desired Experience

Familiarity with IT hardware, enterprise fulfillment, multi-vendor coordination, and POD processes is a plus.
