Executive Assistant at MRO

The Executive Assistant (EA) provides high-level support to members of MRO’s Executive Leadership Team (ELT). This role is critical in enabling the ELT to focus on strategic leadership by ensuring seamless operations, clear communication, and well-coordinated priorities.

Reporting directly to the Chief People Officer, the EA is responsible for managing sensitive and confidential information, shifting priorities, and complex schedules with professionalism and discretion.

Tasks and Responsibilities

  • Manage scheduling and calendars for designated ELT members.
  • Coordinate complex travel arrangements.
  • Draft, review, and send communications on behalf of executives.
  • Organize and prepare materials for executive and board-level meetings.
  • Plan and coordinate small meetings and events supporting executive priorities.
  • Prepare slide decks and track follow-up items for company meetings.
  • Maintain organized records and manage expense reporting and reconciliation.
  • Respond promptly to calls, emails, and messages ensuring timely communication.
  • Prioritize tasks and collaborate with other Executive Assistants.
  • Support special projects and handle ad hoc meeting requests.

Skills and Experience

  • Bachelor’s degree preferred.
  • 7–10+ years of experience supporting senior executives.
  • Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint) and SharePoint.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to anticipate executive needs and maintain confidentiality.
  • Professional demeanor with strong interpersonal skills.
  • Comfortable working in a collaborative, team-oriented environment.
