Original Job Summary
Primary Purpose
The Quality Assurance Administrative Assistant provides administrative and clerical support to the QA department. This role maintains accurate documentation, supports audits and inspections, coordinates with cross-functional teams, and ensures compliance with company policies and regulatory requirements.
Major Duties & Responsibilities
- Maintain and organize QA documentation, including data entry and tracking.
- Support internal and external audits by preparing audit-ready documents.
- Communicate with USDA, production, sanitation, and maintenance teams regarding QA protocols.
- Perform general office duties: answering phones, scheduling, coordinating meetings, updating calendars, and preparing reports.
- Assist the QA team with clerical tasks, reporting, and daily operations.
- Support departmental projects, company events, travel arrangements, and additional duties as assigned.
- Ensure confidentiality and accuracy of all compliance records.
Work Schedule
Standard shift is from 8:00 AM to 4:30 PM, Monday through Friday with occasional Saturday work. Flexibility is required to adjust schedules based on departmental needs, including time spent on the production floor.
Qualifications
- High School Diploma or GED required; Associate’s Degree preferred.
- 1–3 years of administrative support, clerical, or QA/food safety experience preferred.
- Proficiency in Microsoft Office Suite; QA systems experience is a plus.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks.
- Excellent written and verbal communication skills.
- Ability to work independently and collaborate with cross-functional teams.
- Knowledge of food safety, quality assurance, or regulatory compliance is preferred (training available).
