Position Overview: Office Assistant at Modine Manufacturing Company

We are seeking a detail-oriented and proactive Office Assistant to manage a variety of office operations and logistical tasks. The ideal candidate will be organized, possess strong communication skills, and be capable of handling multiple administrative functions to ensure smooth day-to-day operations.

Key Responsibilities

  • Maintain office supplies and copiers, ensuring availability and functionality.
  • Sort and distribute incoming mail daily to the appropriate departments and personnel.
  • Coordinate incoming and outgoing courier packages, including local transfer of documents across Calgary locations.
  • Assist with the transfer of data within VISUAL ERP, specifically for Customer Orders, Inventory Transfers, and other ad-hoc information.
  • Receive administrative, stationery, services, and other office supplies within the ERP system against blanket purchase orders.
  • Archive and organize documentation as supporting files in the shared drive for easy access and record-keeping.
  • Assist with tracking monthly fuel usage and prepare data for environmental reporting.
  • Support guest arrangements, including coordinating catering, and providing hard hats and PPE equipment as needed.
  • Monitor cleaning services at the assigned location, coordinating with both internal and external cleaners to maintain a tidy environment.
  • Troubleshoot common office issues, liaising with suppliers for coffee, the landlord for facility matters, and printers for technical problems.

Required Education & Qualifications

  • High school diploma is required.
  • 2+ years of experience in an administrative role is preferred.
  • Basic working knowledge of Excel, Word, and Outlook.
  • Good communication skills, both written and verbal.
  • Ability to work independently or with minimal supervision.
  • Previous experience as an Admin Assistant or in a similar role is considered an asset.
