Executive Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary

This position offers the opportunity to provide high-level administrative support to a world-class team at the forefront of quantum computing innovation. You will serve as a critical operational partner to scientists, engineers, and business leaders who are shaping the future of quantum technology. You will be responsible for managing a wide range of administrative functions including team support coordination, international logistics, event planning, space management, and equipment handling for a team of over 200 members across global locations. The ideal candidate is energized by working alongside highly educated experts, comfortable with fast-changing priorities, and motivated by the challenge of seamless coordination across multiple stakeholders. Job Responsibilities

  • Provide comprehensive administrative support for a team of 120 local members and 100+ international team members
  • Coordinate hiring processes and support new hire onboarding, including shipping equipment internationally
  • Manage complex travel arrangements and expense processing for leadership with frequent international travel requirements
  • Plan and execute white glove service events and coordinate catering for leadership meetings and gatherings
  • Oversee space management and contribute to future capacity planning initiatives
  • Handle hardware and equipment support tasks, including physical setup and troubleshooting that may require lifting up to 30 pounds and accessing equipment under desks
  • Maintain accurate records, documentation, and information systems to ensure leaders have clear, timely information
  • Prepare meeting materials and ensure thorough follow-through on action items
  • Navigate procurement workflows and administrative platforms with accuracy and efficiency
  • Respond to shifting priorities with flexibility and proactive problem-solving
  • Collaborate with the broader administrative community to maintain cohesive support operations
  • Perform general office duties including ordering supplies and maintaining organized filing systems

Requirements

  • Minimum 3-5 years of experience providing team support for executives or senior leadership
  • Minimum 3-5 years of experience with travel and expense tools, procurement workflows, and administrative platforms
  • Minimum 3-5 years of experience coordinating complex schedules, managing shifting priorities, and handling meeting operations with precision
  • Previous experience supporting white glove business teams strongly preferred
  • Background working with calendar management is advantageous for future growth opportunities
  • Cloud Attestation certification required for this role
  • Exceptional written and verbal communication abilities with strong attention to professional tone and accuracy
  • Advanced organizational skills with ability to juggle multiple competing priorities simultaneously
