Overview
The Client Coordinator at MES Solutions is responsible for servicing inquiries from clients, physicians, nurses, or any representative acting on behalf of a client. This role focuses on data preparation, data entry, tracking, documentation, and filing while ensuring quality customer service and regulatory compliance.
Essential Job Functions
- Respond promptly to inquiries about report status, concerns, and general information.
- Utilize systems and databases for entering and retrieving client information.
- Maintain daily communication with the QA department regarding workflow and report status.
- Contact providers for assignment and update records in the database.
- File and archive cases; verify client information is current.
- Work independently and collaboratively to ensure timely resolution of inquiries.
- Direct calls to other departments as necessary.
- Perform clerical duties such as typing, filing, emailing, and proofreading.
- Assist in resolving customer complaints and quality assurance issues.
- Notify management of any report issues or concerns.
- Ensure compliance with state and federal safety and legal regulations.
- Perform additional duties as assigned.
Qualifications
Minimum high school diploma or equivalent required. At least one year of clerical experience or equivalent combination of education and experience expected; experience in a medical office or insurance industry is preferred.
Essential Competencies
- Proficient in general computer use and office equipment (fax, copier, scanner, telephone).
- Skilled in multiple software programs, including Microsoft Word, Outlook, Excel, and Internet use.
- Ability to adhere to HIPAA regulations and compliance standards.
- Qualified typist with a minimum speed of 40 W.P.M.
- Excellent accuracy, thoroughness, and responsibility for quality work.
- Strong communication skills with ability to work independently and in teams.
- Efficient time management and prioritization during high-pressure situations.
- Maintains confidentiality and promotes a positive team environment.
Physical Demands & Work Environment
Work is primarily office-based with extended hours possible. The environment includes moderate noise levels and occasional physical activity such as lifting light weights and moving around the office. Reasonable accommodations are available for individuals with disabilities.
