Executive Assistant / CEO's Right Hand at Maestro
This role exists for one reason: to multiply the impact of Maestro's founders. Maestro helps higher education institutions and training centers convert their leads into enrolled students by outsourcing their sales department. They have grown from 0 to over 40 schools in less than 2 years, entirely bootstrapped, with no fundraising. The objective is to reach over 100 schools in the next 18 months.
The team is young, moves fast, and the founders can no longer handle everything alone. They need someone to take ownership of every subject, structure it, make it run smoothly, and then move on to the next. This is not a static job with a fixed task list; it's a role where you become the person who makes things happen. Missions evolve as the company grows. What matters most is your ability to take any project, understand it, organize it, and pilot it until it's operational—then move on to the next challenge.
We are looking for someone who understands that the world has changed. Today, with tools like Claude, Cowork, ChatGPT, and dozens of AI solutions emerging weekly, one person can do the work of ten in ten times less time. Technical barriers have disappeared. You no longer need to know how to code to automate a process, create a dashboard, or generate a professional document. You just need to be curious, resourceful, and ready to learn. That's exactly what we're looking for: someone who uses AI as a daily lever—or is ready to fully embrace it from day one.
The Principle of the Role
The founders identify priorities. You turn them into reality. One month, it might be structuring the entire onboarding process for new sales representatives. The next month, implementing an AI tool to automate reporting. The month after, taking over client invoicing because it's lagging, or coordinating urgent recruitment. Your daily routine will never be the same as the day before. That's the deal, and it's what makes this position unique.
This Role is for You If…
- You understand that AI has changed everything. You already use ChatGPT, Claude, or other tools daily—or you are ready to adopt them immediately. You see AI as enabling you to do in 1 hour what used to take a full day. Not as a gadget, but as a force multiplier.
- You are resourceful above all else. You don't know how to do something? You figure it out. Google, ChatGPT, Claude, a YouTube tutorial, a call to someone—it doesn't matter, you find a solution.
- You are obsessively organized. Nothing escapes you. You have a system for everything, and if one doesn't exist, you create it.
- You enjoy leading projects from A to Z. Understanding the problem, outlining a plan, executing, iterating until it works.
- You are comfortable with ambiguity. Missions change, priorities shift—you see this as a playground, not a problem.
- You are proactive. You don't wait to be told what to do. You identify what's missing and fill the gap.
- You are comfortable with direct feedback. We move fast, we communicate openly, we adjust.
- You are reliable. When you say it's done, it's done.

Concretely, Here Are the Types of Subjects You Will Handle (the list evolves with the company's challenges):
Ops & Process — Structuring What Isn't Yet Structured
- Create, document, and improve internal processes (SOPs, playbooks, workflows).
- Implement monitoring, reporting, and steering tools.
- Utilize and implement AI tools for anything that can be accelerated, automated, or simplified (no technical skills needed—the barriers have fallen. We want to build a structure for 2030, not 2010).
- Take charge of a project, get it running, delegate or automate it, then move on to the next.
Executive Assistant — Protecting the Founder's Time
- Manage agenda, emails, and priorities—filter, prioritize, anticipate.
- Prepare meetings and summaries to ensure every minute counts.
- Be the coordination point between the CEO and the rest of the ecosystem (teams, clients, providers).
HR & Team Coordination
- Participate in recruitment: sourcing, pre-qualification, interviews.
- Coordinate onboarding for new hires.
- Structure training for new sales advisors.
And Everything That Falls Through the Cracks
- Ad hoc support for LinkedIn / social media / YouTube content.
- Organization of travel or events when necessary.
- Anything without an owner that still needs to move forward.
