We are looking for a friendly, professional, and highly organized Administrative Assistant to be the face of our onsite Dallas office. This role is essential to creating a welcoming environment while ensuring daily office operations run smoothly. You will support employees, visitors, and leadership by delivering high-quality administrative and facilities coordination in a fast‑paced health-tech environment.

What You'll Do

Front Desk & Visitor Management
  • Serve as the first point of contact for visitors, guests, and employees.
  • Greet and check in visitors; manage badges and ensure compliance with onsite protocols.
  • Answer and route phone calls and respond to general inquiries.
Office Operations
  • Maintain office cleanliness, organization, and readiness for daily operations.
  • Monitor and restock office supplies, snacks, equipment, and materials.
  • Coordinate vendor services (cleaning, maintenance, deliveries, etc.).
  • Oversee incoming/outgoing mail, packages, and courier shipments.
Administrative Support
  • Assist with scheduling onsite meetings, conference rooms, and team events.
  • Prepare meeting materials, agendas, and light note‑taking when required.
  • Support executives and team leads with general administrative tasks.
  • Process invoices, purchasing requests, and office‑related expenses.
Facilities & Onsite Coordination
  • Serve as the point of contact for facilities issues (IT tickets, building services, repairs).
  • Ensure compliance with health, safety, and security protocols.
  • Help coordinate onsite trainings, leadership visits, and employee engagement activities.
Employee Support
  • Assist with onboarding logistics for new hires (badges, seating, equipment setup).
  • Foster a positive and helpful environment for employees working onsite.

What You Bring

  • 1–3 years of experience in reception, office coordination, or customer‑facing administrative work.
  • Experience in healthcare, health tech, or regulated environments preferred (not required).
  • Strong communication and interpersonal skills; polished, friendly, and professional.
  • Highly organized with strong attention to detail and ability to multitask.
  • Comfortable using Microsoft Office, Google Workspace, and modern office tools.
  • Able to work 100% onsite in Dallas, TX.

The salary for this position is based on an array of factors unique to each candidate, such as years and depth of experience, set skills, certifications, etc. We are hiring for different levels, and our Recruiting team will let you know if you qualify for a different role/range.
