About the Role

The Operations Associate supports the Legal Operations Department by facilitating communication between operations and legal teams, handling client escalations, coordinating legal training, and ensuring legal consistency across teams. This role serves as the link between attorneys and operations, maintaining scripts and legal resources, triaging client inquiries, and ensuring firm policies and USCIS guidance are consistently applied. The Operations Associate also serves as a legal subject matter expert (SME) for projects within the operations area they support. The ideal candidate will have prior experienced in immigration law, be goal-oriented, able to follow detailed instructions, and motivated to help our clients obtain documents and stay united with their families. There is an opportunity for career growth and additional responsibilities with strong performance. This is a remote work based in California, with a Hybrid-mode to assist our California offices occasionally when it's needed, approximately 25% of the time.

Your Key Contributions

  • Provide legal support to the team and clients.
  • Oversee case management processes and operational workflows to ensure compliance with California law, ethical obligations, and Firm standards.
  • Assist in the establishment and ongoing management of the Firm’s California professional corporation and office operations.
  • Provide leadership, mentorship, and operational oversight for California personnel.
  • Coordinate with Firm leadership regarding staffing, workflow management, compliance, and operational strategy.
  • Travel to various California office locations and operational sites, as needed. (Pasadena, Riverside, San Diego).
  • Support quality assurance initiatives and procedural implementation across California operations.
  • Handle client escalations independently and escalate questions to legal leadership following Standard Operations Procedures and when firm risk is identified.
  • Escalate firm risk and policy-related questions to legal leadership for review and resolution.
  • Meet established goals while supporting firmwide operational priorities.
  • Coordinate legal training. Reinforce existing trainings, refreshers, and ensure consistent application of new guidance across operational teams.
  • Serve as the Legal SME for operational projects, supporting process mapping, policy alignment, and implementation within assigned teams.
  • Support process documentation and continuous improvement projects within the department.

What Makes You a Great Fit

  • The candidate should have a J.D. degree from an ABA-approved law school and be an active member in good standing of the California state bar.
  • 3+ years of immigration experience required.
  • Strong organizational and communication skills with attention to detail and accuracy.
  • Ability to collaborate effectively with non-attorney staff in a high-volume environment.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Willingness and ability to travel throughout California approximately 25% of the time.
  • Experience using a case management software system preferred.
