Job Overview

The Executive Assistant provides professional, proactive, and confidential support to members of Lifemark’s Executive Leadership Team.

What You'll Do

  • Provide full administrative support to one or more executives.
  • Manage calendars, schedule meetings, book travel and coordinate logistics.
  • Prepare and edit confidential documents, reports, and presentations.
  • Prepare and submit various reports including expense and vacation tracking.
  • Track and follow up on outstanding requests and initiatives.
  • Coordinate meetings, town halls, conferences, and special events.
  • Maintain organized filing and secure information management systems.
  • Liaise with internal and external stakeholders with discretion and professionalism.
  • Screen and prioritize incoming communications.
  • Support team initiatives, projects, onboarding, and ad hoc assignments.

What We're Looking For

  • 2–5 years of experience in an Executive Assistant or senior administrative role.
  • Experience in a large, complex or multi-site organization is an asset.
  • Proficiency with Microsoft Office and virtual collaboration tools (e.g., Teams).
  • Exceptional organizational skills, attention to detail, and confidentiality.
  • Excellent communication, relationship-building, and problem-solving skills.
  • Ability to work independently in a fast-paced environment with competing priorities.
  • High level of professionalism, integrity, and commitment to service excellence.
