Job Summary

The Office Assistant supports clinic, department, or program in an administrative capacity. This role operates under supervision and within well-established guidelines, performing essential clerical and administrative duties to ensure smooth office operations and patient communication.

Primary Responsibilities

  • Greets patients or visitors, manages incoming calls by answering, screening, and routing them appropriately.
  • Files documents, distributes mail, and performs various other general clerical tasks.
  • May assist providers with programs/software applications.
  • Responsible for assembling and maintaining patient charts, making copies, scheduling appointments, and maintaining accurate records.
  • Manages office inventory, including ordering necessary supplies.
  • Ensures office equipment is in good working order and initiates requests for repairs or maintenance as required.
  • Communicates effectively with patients, families, physicians, and other healthcare team members regarding patient care, adhering to established protocols.
  • Performs other duties as assigned to support the overall efficiency of the department.

Education and Experience

A High School diploma/GED or 10 years of relevant work experience is required. No prior experience is necessary for this entry-level position.

Physical Requirements

This role involves frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs. Frequent activities include sitting, standing, walking, reaching, and repetitive foot/leg and hand/arm movements. The position requires frequent use of vision and depth perception for both near and far distances, as well as the ability to identify and distinguish colors. Frequent use of hearing and speech for oral communication and to identify alarms/malfunctioning machinery is also necessary. Frequent keyboard use/data entry is expected. Occasional bending, stooping, kneeling, squatting, twisting, and gripping, along with occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs, may be required. Rare climbing is also noted.

Work Shift and Type

This is a Regular, Employee position, scheduled for 40 weekly hours on a Day Shift (United States of America) within the 8746030033 Sys Utilization Management Department.
