General Purpose of the HR Representative Role
The HR Representative provides essential administrative and support services to Ross associates concerning their leave of absence (LOA). This role ensures quality administration and a positive associate experience, adhering to all relevant laws and Ross policies. Daily responsibilities involve a high level of customer service, professionalism, and teamwork.
Essential Functions
- Leave of Absence Administration: Utilize systems such as Service Now, PeopleSoft, Sedgwick ViaOne, and Ross's case management system to process LOA transactions. This includes uploading approvals, denials, benefit elections, making adjustments, generating new cases and letters, and managing emails/voicemails.
- Associate Support: Provide comprehensive support and communication to associates across all locations (Stores, Corporate, Buying Office, Distribution Centers).
- Vendor and Internal Partner Communication: Engage with vendors and internal partners (Payroll, Benefits, HR Services) to ensure smooth administration and respond to inquiries.
- Customer Service: Offer excellent customer service to associates and clients with LOA-related questions, explaining Ross policies across various states and locations.
- Data Management & Compliance: Gather critical data (case notes, LOA dates) to support compliance efforts and legal matters; assist in responding to legal holds.
- Reporting: Provide reporting to track and monitor departmental work, and generate reports and letters (e.g., benefit payment/exhaust process).
- Continuous Improvement: Cross-train and provide backup to other LOA team members; assist in evaluating LOA training and process improvements.
- Professional Development: Stay current on company, state, and Federal guidelines, company training, and system proficiency.

Qualifications and Special Skills Required
- Bachelor's Degree is preferred.
- Strong customer service and communication skills with excellent problem-solving abilities.
- Ability to establish and maintain positive working relationships with internal and external partners.
- Preferred experience in Leave of Absence administration with federal and state laws (e.g., FMLA, ADA, CA CFRA, Pregnancy, Military).
- Demonstrated ability to work independently or with a team, using thoughtful judgment on complex and sensitive issues.
- Proficiency in learning and asking questions, using online systems and databases, and attending to detail with accuracy.
- Functional and technical knowledge to perform the role, staying updated on new skills, policies, processes, and tools.
- Good communication skills, both verbal and written, with diverse groups of associates.
- Working knowledge of Microsoft Office, proficiency with Excel and PeopleSoft.
- Familiarity with PeopleSoft and HR systems, Benefits, and Payroll practices.
Physical Requirements/ADA
This role requires working in an office environment, primarily on a computer. This includes sitting, standing, walking, hearing, talking on the telephone, attending meetings (in-person and remote), typing, and working with paper/files. Consistent timeliness and regular attendance are essential. Vision is required to see information in print and electronically.
This position is remote and can be performed anywhere within the United States, excluding the State of Colorado and New York City.
