The Opportunity
A fantastic opportunity exists for a high-calibre Executive Assistant to support 3–4 Partners. We are seeking an individual who prides themselves on operating with utmost integrity, is a pragmatic decision-maker, and an extremely reliable operator, with a passion for fostering a positive office environment. This role, based in either the Sydney or Melbourne office, requires collaborative work with regional and global teams.
What The Role Entails
- Attending Senior Leadership Team meetings, including managing the agenda, taking accurate minutes, and documenting action items.
- Proactively managing Partner inboxes, ensuring emails are answered, actioned, or delegated appropriately, with critical importance placed on confidentiality.
- Managing Partner diaries and coordinating arrangements for meetings and appointments.
- Scheduling domestic and international travel, booking hotels and cars, and providing detailed itineraries.
- Preparing letters, reports, and presentations.
- Maintaining a live 'to-do' list for Partners and ensuring regular catch-ups occur to help drive productivity.
- Completing expense reconciliations, coding receipts, and entering time and expenses into relevant systems within required deadlines.
- Supporting the production of proposals and marketing/business development activities.
- Entering new contacts, meetings, and opportunities into the firm's marketing database and ensuring records remain up to date.
- Supporting projects and event management from time to time, such as arranging corporate conferences, seminars, and ad hoc events.
- Assisting Partner preparation for case reviews/summary review meetings.
- Working effectively with other Executive Assistants, the core services team, and the broader office.
The Successful Candidate Will Have
- Experience in an administrative support role within a corporate or professional services environment.
- Confidence to approach Partners and interact with C-suite and Board-level clients, especially Executive Assistants to CEOs at ASX100 entities.
- Ability to establish rapport with a variety of stakeholders at different levels, both internally and externally.
- Strong time management and organizational skills, with the capacity to manage multiple tasks and conflicting priorities simultaneously with minimal direction.
- Strong communication skills (oral and written).
- Fastidious attention to detail, with high standards and pride in being on top of all tasks.
- A proactive and intuitive mindset – able to anticipate and act on Partners’ needs.
- Resilience, tenacity, and comfort working in a fast-paced, ever-changing environment.
- Creativity and the ability to think outside the box when managing events.
- Experience working with a CRM platform (preferably Salesforce) and proficiency in PowerPoint and Word.
- Flexibility with work hours and ability to be in the office 3–4 days per week (8:30 am–5:30 pm, with flexibility as needed).
- A willingness to support other Partners when Executive Assistants are on leave.
