Office Manager at Legacy Toyota of Dallas
LEGACY TOYOTA OF DALLAS is looking for an energetic Office Manager professional who doesn’t mind wearing multiple hats. The ideal candidate is experienced in handling a wide range of administrative tasks and can work independently with little or no supervision. You should be well-organized, flexible, and enjoy the administrative challenges of supporting all departments.
The ideal candidate has at least 3+ years of experience as an Office Manager in the Automotive Industry or an equivalent combination of education and experience. You must be detail-oriented, good with numbers, and proficient with accounting software and Microsoft Office applications (Word, Excel, and Outlook).

Responsibilities
- Develop organizational procedures and systems for office personnel, including filing, billing, accounting, and scheduling.
- Serve as the point person for maintenance, mailing, supplies, errands, and bills.
- Perform reconciliations of schedules, including but not limited to cash, credit cards, accounts receivable, vehicle receivable, contracts in transit, sublet, etc.
- Manage relationships with vendors and service providers, ensuring invoices are paid timely.
- Allocate available resources and enable successful task performance.
- Coordinate office staff activities to ensure maximum efficiency.
- Be responsible for all factory incentives, submission, and payments.
- Ensure the security, integrity, and confidentiality of data.
- Analyze and monitor internal processes.
- Organize and schedule meetings and appointments.
- Coordinate with the IT department.
- Allocate tasks and assignments to subordinates and monitor performance.
- Perform review and analysis of special projects and keep management informed.
- Ensure top performance of office staff by providing them adequate coaching and guidance.
- Other duties as assigned.
Qualifications
- 3+ years of Office Manager experience or equivalent combination of education and experience in the Automotive industry.
- Ability to communicate with a good attitude and with a strong attention to teamwork.
