Job Description
General Position Summary
King County Library System (KCLS) seeks an experienced Human Resources Administrative Assistant. This role supports the Director of Human Resources and the HR department as a trusted operational and strategic partner, managing executive calendars, meeting preparation, records, and budgets while ensuring smooth information flow and project completion.
Essential Duties
- Prepare meeting agendas and minutes.
- Manage the Director’s schedule and correspondence.
- Order supplies and analyze purchase sources.
- Prepare budget requests and track expenditures.
- Create and maintain files and statistical reports.
- Answer phones, distribute messages, and manage mail.
- Compose, type, and edit various documents.
- Coordinate and track data to meet reporting needs.
- Handle special projects improving workflows and systems.
Secondary Duties
Provide backup support across the system, participate in meetings, conferences, and seminars, and perform other related duties as assigned.

Desired Minimum Qualifications
- High school diploma or GED equivalent; higher education or vocational training preferred.
- One to two years’ experience in office assistance and computer software expertise.
- Adept multitasking, time management, and organizational skills.
- Maintains confidentiality and communicates tactfully.
- Certificate in Microsoft Office is preferred.
Physical Demands & Work Environment
The role is primarily office based with occasional travel to branch libraries. Tasks include extensive computer work and light physical activity.
