Overview
Kimley-Horn is seeking a Human Resources Compliance Specialist to join our Firmwide HR team in Warrenville, Illinois (IL). This is an on-site position, not remote.
Responsibilities
The Human Resources Compliance Specialist will engage in various HR initiatives and projects. This includes developing Equal Employment Opportunity plans, fulfilling federal reporting requirements, managing regulatory audits, and implementing workplace policies and procedures in alignment with federal, state, and local regulations.
- Research and monitor federal, state, and local employment and labor laws to stay current with changes and regulations, providing training to regional HR teams.
- Prepare and submit EEO, Veterans, and other federal and state regulatory reports.
- Conduct regular audits to ensure all required employment disclosures and notices are provided throughout the employee lifecycle.
- Coordinate with the HR Compliance Specialist and EEO Officer for report completion based on contract and client requirements.
- Support the immigration process and documentation, consulting with an external immigration law firm.
- Manage vendor relationships for anti-harassment training, background checks, drug screens, labor law posters, and compliance software, ensuring satisfaction and adherence.
- Address inquiries related to background checks and drug screens, occasionally assisting with employee relations during the adjudication process.
- Maintain the Employee Handbook by publishing bi-annual updates and necessary revisions.
- Partner with the HR Operations team to ensure consistency and compliance across various HR policies and procedures.
- Participate in subcommittees to review and implement new processes and procedures for efficiency and growth.
- Maintain specific information within UKG Pro (HCM) and generate reports for marketing teams and other departments.
Qualifications
To succeed as a Human Resources Compliance Specialist, candidates should possess:
- Strong auditing and assessment skills for HR programs and processes.
- Excellent project management, problem-solving, and analytical capabilities.
- Ability to manage multiple priorities and complex issues independently.
- Exceptional attention to detail.
- Strong collaboration skills.
- A commitment to handling confidential information appropriately.
- Effective communication, presentation, training, and facilitation skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- A Bachelor's degree in Human Resources or a related field.
- 5+ years of relevant HR experience.
- Experience in project management and HR procedure implementation.
- Knowledge of HR regulatory and compliance environments, including emerging legislation.
- Experience managing federal and state reporting requirements for federal contractors is a plus.
- Occasional travel may be required.
Working Hours & Salary
Office hours are 7:30 AM – 5:30 PM Monday – Thursday and 7:30 AM – 11:30 AM Friday. The salary range for this position is $65,000 - $80,000.
