Job Summary

As an Executive Assistant within the Global Finance and Business Management team at JPMorganChase, you will perform a wide range of administrative functions requiring discretion, initiative, and sound decision-making. This role supports an executive, their management team, and various stakeholders, involving daily interactions with internal executive-level clients. You will be expected to adapt established procedures and techniques to effectively complete assignments in alignment with department goals.

Job Responsibilities

  • Manage and handle multiple complex and detailed calendars, proactively addressing urgent meeting conflicts, and setting up internal and external meetings and conference calls. Oversee all related logistical aspects.
  • Operate effectively in a fast-paced, dynamic environment, adeptly managing multiple priorities with a professional and cooperative attitude.
  • Respond to phone calls professionally, fielding inquiries, addressing issues or redirecting as appropriate, and ensuring timely distribution of messages.
  • Coordinate comprehensive travel arrangements including airfare, hotel accommodations, and ground transportation. Prepare detailed itineraries, necessary travel visas/documents, and ensure accuracy and prompt delivery of travel plans to travelers.
  • Process invoices and Travel and Expense claims for senior leaders promptly, adhering to all company policies and guidelines. Serve as a subject matter expert for policy and procedure inquiries.
  • Be open to assuming increased and/or new responsibilities as needed.
  • Provide assistance with overflow tasks, special projects, backup coverage for other assistants, and general day-to-day administrative duties.

Required Qualifications, Skills And Capabilities

  • Bachelor's degree in any stream.
  • Minimum of 5 years of experience in an Executive Administrative Assistant role.
  • Strong working experience with Microsoft Word, Excel, and PowerPoint.
  • Solid knowledge of general office procedures, including scheduling, expense management, and calendar management.
  • Superior oral and written communication skills.

  • Adaptable team player with good problem-solving ability and effective interpersonal skills.
  • Excellent telephone etiquette.
  • Demonstrated tact and sound judgment in confidential situations, with proven experience interacting effectively with senior management.
  • Ability to adapt procedures, processes, and techniques to successfully complete assignments.
