Job Summary
Become an integral part of the Asset and Wealth Management team at JPMorganChase as an Executive Administrative Assistant. This fast-paced role offers professional growth and skill enhancement, requiring a results-oriented approach with a focus on attention to detail and quality. You will work within a supportive team, representing the manager/group with professional courtesy and acumen, and interacting daily with executive-level internal clients across various lines of business. Adaptability in procedures and processes is key to completing assignments in line with departmental goals.
Key Responsibilities of an Executive Administrative Assistant
- Maintain complex and detailed calendars, ensuring all appointments and meetings are accurately scheduled.
- Screen incoming calls, prioritizing them appropriately and exercising caution when dispensing information.
- Manage the coordination and logistics for both internal and external meetings, including scheduling and resource allocation.
- Arrange and coordinate complicated domestic and international travel itineraries, including flights, accommodation, and ground transportation.
- Organize all aspects of internal and external events, from catering to transportation and venue setup.
- Process invoices and T&E expense claims for team members, adhering strictly to company policies and guidelines.
- Assist with staff on-boarding and off-boarding processes, including equipment setup and system access requests.
- Produce high-quality emails and messages for individuals at all organizational levels, ensuring professional communication.
- Maintain department documents, such as current organizational charts and Executive Bio's, keeping them up-to-date.
- Handle regular administrative activities proactively and provide advance notice for any potential issues or delays.
Required Qualifications, Capabilities, and Skills
- At least five years of dedicated administrative experience, preferably in a fast-paced corporate environment.
- Advanced ability to organize, prioritize, and manage multiple tasks efficiently.
- Demonstrated discretion and good judgment in handling confidential situations and sensitive information.
- Proven experience interacting with senior management and executive-level stakeholders.
- Strong interpersonal skills, enabling effective collaboration and communication.
- Excellent written and oral communication skills, with a keen eye for detail.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) for creating and managing documents, presentations, and schedules.
- Excellent telephone etiquette and the ability to effectively manage competing priorities, particularly in calendar management.
Preferred Qualifications, Capabilities, and Skills
- Experience providing support at the Managing Director level (or equivalent) or above.
- A college degree is considered a plus, demonstrating a commitment to higher education and professional development.
Work Arrangement
This role requires five days in the office (Monday-Friday) and does not support a hybrid work option, fostering a collaborative and engaging on-site environment.
