Security Coordinator, Epic at VISION INFOTECH INC.
Our client, VISION INFOTECH INC., is seeking a dedicated Security Coordinator, Epic. This role is crucial for developing and managing the processes and procedures involved in assigning role-based access to clinical users within the Epic environment.
A thorough understanding of the EMP and SER databases is essential. Candidates should possess a minimum of five years of previous experience managing or developing processes for a large number of users. The ability to effectively work cross-functionally to obtain critical information is paramount. This position requires an understanding of how Epic applications integrate and how multiple applications utilize the same data items. Familiarity with Peoplesoft HR, Active Directory, and Mdstaff applications, and their impact on Epic Provider and user databases, is also necessary. A minimum of five years of experience in pre and post Resident Go Live activities is required. The Security Coordinator must be able to create SER Provider Blueprints.
This role demands demonstrated skill in customer service, clear written and verbal communication, and strong listening skills to accurately assign roles to job functions. An inclination to document and explain processes and procedures is highly valued. Previous experience in healthcare is preferred, and familiarity with clinical roles is very helpful.
General Tasks and Responsibilities
- Guide Application Support Analysts in the mechanics of security assignments.
- Establish ownership of each security class defined by the security workgroup, ensuring access is limited to authorized users and that authorized users have access only to what is necessary for their job function.
- Map users to specific security templates with assistance from Application Support Analysts.
- Create processes for granting access to new employees, removing access from terminated employees, and modifying access when job roles change. These procedures should include steps for users to receive login authorization, passwords, and training on proper system security.
- Develop procedures to establish new security roles, including a review and approval process for requested modifications.
- Work closely with technical teams and application analysts to develop a firm understanding of infrastructure security and templates, and possess or develop a working knowledge of clinical roles to better match security templates with clinical job functions.
- Map key data elements to Provider Records based on provider types.
- Run daily, weekly, and monthly audit reports.
- Process incoming and outgoing files pertaining to both EMP and SER databases.
- Provide level 2 support for both Epic and non-Epic data security tickets.
- Assist in other data security activities as needed by the Data Security Manager.
- Process large amounts of Provider and user data accurately and within specified timeframes.
Minimum Qualifications
Under varying levels of direction and expertise, the Security Coordinator is responsible for the ongoing assessment, design, development, and implementation of corporate-wide clinical systems. Specifically, this involves collecting and transforming large quantities of information into meaningful business requirements; developing and modifying requirements documentation for the design and implementation of clinical information systems; critically evaluating information from various sources; distinguishing user needs from actual business needs; and partnering with business users, project managers, programmers, consultants, and IT leadership to optimize the scope, benefits, and risks of actual and proposed projects, as well as assisting in managing stakeholder expectations.

We are looking to fill positions with experience in the following Epic modules: Inpatient Clinical Documentation, Stork OB, Inpatient Orders, Infection Control, Long Term Care/Rehabilitation, Beacon Oncology, OpTime Peri-Operative, Anesthesia, Radiant Radiology, Cupid Cardiology, Laboratory, Willow Pharmacy, ASAP Emergency Department, Care Management and EpicCare Ambulatory, MyChart, EpicCare Link, Kaleidoscope Ophthalmology, HOD, and HomeHealth.
Additional General Tasks and Responsibilities
- Analyze and document business requirements and processes; communicate requirements to technical personnel through the construction of basic conceptual data, process models and flowcharts, and technical specifications.
- Interview end users, stakeholders, and project sponsors to assess business and clinical needs; create business, functional, and technical requirements documents based on captured data and in accordance with departmental protocol/standards.
- Convert gathered information into details including data sources, data and user types, interface components, interface navigation needs, reporting needs, and administrative system needs.
- Define external interfaces, constraints, quality issues, and other non-functional requirements.
- Provide the project management team with identified risks, concerns, and ambiguities discovered during requirements gathering; assist the team in developing solutions.
- Partner with project managers to complete requirements documentation in accordance with project schedules.
- Plan, organize, facilitate, and lead meetings and workgroups, as well as oversee and execute follow-up activities.
- Ensure the software development team accounts for all defined requirements in coordination with the quality assurance team, ensuring all quality standards comply with internal policies and industry standards.
- Document changes to baseline requirements through a standard change control process. Document software test plans, technical requirements, release notes, user and training guidelines, and other materials.
- Plan, coordinate, and support unit acceptance testing and subsequent deployments in coordination with other team leaders.
- Perform end-user and application support functions, including problem-solving and resolution of application function defects.
- Develop and execute project presentations.
- Participate in special projects as required.
- Provide training to and serve as a mentor for Junior Clinical Business Analysts and/or other appropriate project team members; manage and evaluate work products for assigned team members.
- Lead the training, development, and implementation of process improvements for all projects and applications.
- Identify opportunities for process improvements and provide analysis, propose changes, and communicate strategies.
- Provide supervision and direction to junior clinical business analysts, clinical business analysts assigned at Levels I and II, consultants, and/or other appropriate project team members.
- Interview Junior Clinical Business Analysts, Clinical Business Analysts assigned at Level I and II, consultants, and/or other appropriate project team members.
Due to the responsibilities of your position, you will be required to work beyond your regularly scheduled hours.
This role is approximately 80% remote and up to 20% on-site. The selected candidate must be able to come into the office to perform required work within 48 hours.
Preferred Qualifications
- Certification(s)/NYS License(s): Specialty certification(s) issued by a national commercially available program, state, professional society, academic or technical institution in a listed area may be credited on a month-to-month basis toward the required work experience for a total of one year.

Educational Level
- A Master's Degree or advanced clinical degree from an accredited college or university and two years of experience serving as a lead in soliciting, defining, and managing requirements for internally and externally developed software in a clinical, allied health, non-allied health, behavioral health, information technology, information services, business, analytics or related area; or, one year of experience in a relevant clinical and/or healthcare administration role/function; or
- A Baccalaureate Degree from an accredited college or university and five years of experience as described above; or
- A satisfactory combination of education, training, and experience.
