About The Operations Coordinator Role

We are seeking a proactive, tech-savvy, and detail-oriented Operations Coordinator with 5+ years of experience to join our fast-moving team. You will be instrumental in ensuring the smooth operation of the business, directly supporting the CEO, and proactively identifying and implementing process improvements. This full-time, fully remote position requires significant overlap with US Eastern Time.

Key Responsibilities

  • Stay informed about all ongoing activities and developments across the company.
  • Manage routine operational tasks, including configuring HubSpot and Stripe, assisting with tax filings, supporting the bookkeeper, handling insurance renewals, and setting up vendor accounts.
  • Facilitate clear communication and help resolve blockers for team members.
  • Provide personal administrative support to the CEO.
  • (Later on) Contribute to marketing and sales operations, including reporting and pipeline management tasks.

What We're Looking For In You

To excel as an Operations Coordinator, you should possess:

  • 5+ years of experience as an Operations Coordinator or Chief of Staff.
  • Strong organizational and time-management abilities.
  • Excellent written and verbal communication skills.
  • A proven ability to multitask and prioritize effectively.
  • Basic financial literacy.
  • Demonstrated experience in handling detailed, business-critical work.
  • Hands-on experience with Stripe configuration.
  • Hands-on experience with HubSpot configuration.
  • Experience in creating dashboards using SQL queries.

Bonus points for:

  • Google Workspace proficiency.
  • HR experience.
  • Knowledge of SOC2 compliance.
  • Knowledge of GDPR compliance.

  • Competitive gross salary of $2250 - $3250 per month.
  • Full-time & fully remote work arrangement.
  • 20 days of Paid Time Off (PTO).
