Jefferson Health is seeking a dedicated Nurse Anesthesia Program Coordinator to provide essential daily administrative support for the Jefferson College of Nursing's Nurse Anesthesia Program (NAP) at its Lehigh Valley campus in Center Valley, PA. This multifaceted role requires exceptional organizational skills, supporting the Program Director, NAP staff, and students, ensuring the smooth, accredited operation of the program.
As the Nurse Anesthesia Program Coordinator, you will interact with co-workers, visitors, and staff in alignment with Jefferson's values, offering comprehensive administrative, managerial, and clerical support crucial for day-to-day operations.
Key Responsibilities
- Manages all incoming and outgoing communications, including calls, emails, memos, and letters, ensuring timely and professional correspondence. Transcribes and formats professional documents as required.
- Maintains precise and current student administrative and clinical files, covering licenses, certifications, academic progress, and evaluations.
- Prepares and distributes monthly student calendars, coordinating didactic instruction, clinical rotations, exams, meetings, and significant events like graduation and seminars.
- Schedules, proctors, and meticulously records student exams, evaluations, and licensure processes, including post-graduation self-evaluation and employer feedback.
- Coordinates the application process, arranges interviews, manages applicant files, and processes onboarding documentation for new students in collaboration with the Program Director.
- Handles application and tuition payments, generates invoices, processes check requests and purchase orders, and ensures financial documentation aligns with the hospital's finance department.
- Maintains optimal inventory of office and academic supplies, oversees equipment maintenance, and ensures a clean, professional learning and administrative environment.
- Coordinates faculty schedules, meetings, materials, and correspondence. Manages lecture schedules, contracts didactic instructors, and ensures the timely distribution of educational content.
- Ensures strict compliance with institutional policies, safeguards student confidentiality, and maintains secure, organized recordkeeping and workspace environments.
- Manages digital file backups, keeps the Typhon system updated, and maintains essential databases, contact lists, and communication logs for program operations.
- Demonstrates initiative, professionalism, teamwork, and sound judgment, acting as a vital liaison between students, faculty, and external stakeholders while upholding program integrity.
Qualifications
Education:
- High School Diploma and Associate’s Degree in Secretarial Sciences.
Experience:
- Prior healthcare administrative experience is required.
